Administrative Assistant - Corporate Communications
Company: The Davey Tree Expert Company Locations: Kent, OH Additional Locations: N/A Work Site: On Site Req ID: 223551 Position Overview: The Administrative Assistant supports the Communications Team with daily administrative tasks, event coordination, and operational organization. This role ensures smooth team operations, accurate recordkeeping, and professional interactions with guests, vendors, and internal partners.
Responsibilities:
Administrative Support: Manage calendars, meetings, and team schedules. Greet guests and provide front-facing support. Handle weekly timesheets and maintain team contact cards and in-office schedules. Prepare, mail, and track packages. Maintain organized digital and physical files. Assist with contract tracking and document updates. Prepare mailing labels, nametags and support material distribution. Coordinate and support travel arrangements for the team.
Event & Engagement Support: Assist with corporate event logistics and event support throughout the Davey campus, including organizing meals, snacks, beverages and supplies. Coordinate sports ticket distribution and event invitations. Support preparation of thank-you gifts and vendor packages.
Technology & Systems: Update computer plans and hardware/software logs. Track computer license usage and coordinate with IT.
Qualifications:
3-5 years' experience in administrative or office support roles.
High School Diploma or equivalent.
Strong organizational skills with exceptional attention to detail.
Excellent written and verbal communication skills.
Proficiency with Microsoft 365.
Ability to multitask and maintain professionalism while working on a large team.
Experience using artificial intelligence tools to improve efficiency and productivity.
High level of discretion and ability to maintain confidentiality.
Physical requirement: able to lift packages over 25 pounds.
