Administrative Assistant- Facilities (Seasonal, May-August)
Provides administrative support for Facilities Department supporting efficient operations of the office. Supports director, supervisors, employees, and volunteers through a variety of tasks related to organization and communication. Familiar with a variety of administrative concepts, practices, and procedures. Ability to effectively communicate via phone and email ensures that all administrative duties are completed accurately and delivered with quality and in a timely manner.
Provide general administrative support such as filing, emailing, copying, binding, and scanning for department functions.
Handles multiple projects
Run department errands such as mail delivery/pickup, office supplies and parts.
Maintains Maintenance Help Desk Work Order Database.
Maintain required facilities supply inventory by checking stock to determine inventory levels; anticipating needed supplies; placing and expediting orders for supplies; verifying receipts of supplies.
Assist with vehicle reservations, deliveries, and pick-ups.
Assist in maintaining a database to support site infrastructure such as buildings, electrical power pedestals as well as vehicles and equipment,
Assist with volunteers supporting weekend work parties and AirVenture.
Maintains database of Maintenance staff, and participating volunteers.
Provides general support to volunteers, members, staff, vendors, and service providers.
Other duties may apply.
High school diploma with knowledge of office skill sets and operations. Proficient in MS Office Suite. Attention to detail and problem solving. Organization and planning skills.
Strong verbal and written communication skills necessary to communicate with a variety of members' internal departments and service contractors.
Utilization of Microsoft Word, Excel, Access, Power Point and other software for the benefit of the department and EAA
Work with other departments to accomplish vehicle, housing, and maintenance requests.
