Administrative Assistant
Whatcom County Public Works is looking for an experienced office professional to provide diverse office management and administrative functions for the Maintenance & Operations division.
Essential Job Duties:
Participates as part of the Maintenance & Operations management team, providing diverse confidential administrative support and coordination on a wide range of functions.
Prepares, transmits, and tracks personnel records, disciplinary information, program development, performance reviews, collective bargaining documents and other confidential material. Conducts sensitive pre-decision research and planning that affects employee schedules and work assignments.
Independently leads trains, supervises and establishes weekly assignments of work for assigned administrative employees.
Collaborates with others and contributes to work process improvements, strategic planning, systems analysis, program evaluation, and problem-solving activities. Participates in cross-divisional work teams and department-wide initiatives. Actively advocates for M&O improvements within the department's Administrative Team
Participates in the selection of new employees. Interprets and applies labor agreements and personnel policies.
Uses advanced professional knowledge and skills to improve business practices. Makes management-level decisions about delivery of Public Works administrative services.
Assists with and coordinates the development and implementation of policies, procedures, tasks, workflow, routines and systems of supervised positions. Maintains and updates policy manual, and assures maintenance of current desk procedures and tasks to explain responsibilities of assigned positions at M & O.
Proactively leads improvements in customer service and communication, including web presence and social media content.
Works independently to identify customer needs, analyze relevant business practices, solicit employee input and develop recommendations. Builds training and mentoring opportunities and models change.
Work Location: Central Shop, 901 W. Smith Road, Bellingham, WA 98226
Supervisor: M&O Superintendent Hours of Work: 7 AM - 4:30 PM 9/80 schedule (every other Friday off)
Salary Range: $32.92 - $47.80 per hour
Hiring rate depends on qualifications. This position receives annual pay increases to the next step in the associated salary range (apx. 3.8%) subject to satisfactory performance, in addition to any negotiated Cost of Living Adjustments (COLA).
Qualifications:
Associate's degree in a related field AND 3 years of progressively responsible experience involving composition of a variety of written materials, lead work, office management and public contact, INCLUDING 2 years of lead or supervisory experience.
OR
High school diploma or GED AND 5 years of progressively responsible experience involving composition of a variety of written materials, lead work, office management and public contact, INCLUDING 2 years of lead or supervisory experience.
Demonstrated knowledge of business systems, interpersonal communication, supervision and management is required.
Requires the ability to:
Type accurately and proficiently with a speed of 40 net words per minute.
Be proficient with word processing and spreadsheet applications.
Contribute to a work environment where continuous quality improvements in service and professional practice are pursued.
Communicate effectively and professionally with diverse customers.
