Position: Executive Administrative Assistant
Department: Office of the President
Reports To: President
Classification: Non-Exempt
Job Summary: The Executive Assistant will provide high-level administrative support to the Executive Director and other senior staff.
Duties/Responsibilities:
Provides high-level administrative support and assistance to the Executive Director and/or other assigned leadership staff.
Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for senior staff.
Coordinates and schedules travel, meetings, and appointments for the president.
Receives incoming communication or memos on behalf of senior staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
Performs office tasks including maintaining records, ordering supplies, and performing basic bookkeeping.
Answers and transfers phone calls, screening when necessary.
Welcomes and directs visitors and clients.
Maintains filing systems as assigned.
Prepares agendas and schedules for meetings.
Records and distributes minutes or other records for meetings, upon request.
Performs additional duties as assigned by executives.
Performs other related duties as assigned.
Qualifications
Required Skills/Abilities:
Excellent verbal and written communication skills.
Excellent interpersonal and customer service skills.
Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.
Excellent organizational skills and attention to detail.
Basic understanding of clerical procedures and systems such as recordkeeping and filing.
Ability to work independently.
Education and Experience:
High school diploma required, bachelor's degree in related field preferred.
Three to five years of experience in an administrative role.
Physical Requirements:
Prolonged periods sitting at a desk and working on a computer.
Ability to walk campus or climb stairs when needed.
Must be able to lift up to 5 pounds 1% of the time.
Some nights and weekends may be required.
