Position Description
Responsible for providing high-level administrative support to the CEO and President of Bryan Construction by handling a wide variety of situations involving the administrative functions of the office

Top Responsibilities

Performs clerical and administrative tasks to include letters, memos, reports, emails and other documents for senior management

Prepares agendas, makes travel arrangements, and maintains calendars for senior management.

Track and renew all licensing

Track and update all professional memberships and associations for senior staff

Management of sponsorships and attendance at community events

Primary Duties/Responsibilities

Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for senior staff.

Arranges travel and accommodations for executives.

Schedules and attends meetings on behalf of executives, taking notes and recording minutes.

Receives incoming communication or memos on behalf of senior staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.

Performs office tasks including maintaining records, ordering supplies, and performing basic bookkeeping.

Performs additional duties as assigned by executives.

Organizes and arranges for staff members to represent organization at meetings and conferences, using own initiative.

Notes commitments made by executives during meetings and arranges for staff implementation.

Reads outgoing correspondence for executive approval and alerts writers to any conflicts or departure from policies or executive's viewpoints.

In executive's absence, ensures that requests for action or information are relayed to the appropriate staff member.

Interprets requests, helps implement action, and decides whether executive should be notified of important or emergency matters as needed.

Prepares reports including conclusions and recommendations for solution of operational and administrative problems.

Issues and interprets operating policies.

Track and renew various city, county and/or state licensing requirements

Management of sponsorships and attendance at community events

Coordinates collection and preparation of operating reports, such as budget expenditures, and statistical records of performance data.

May compose and sign correspondence for executive.

Required Skills/Abilities

Excellent verbal and written communication skills.

Excellent organizational skills and attention to detail.

Excellent time management skills with a proven ability to meet deadlines.

Ability to function well in a high-paced and at times stressful environment.

Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.

Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.

Required Education and Experience

High school diploma or equivalent required; Associate's degree in office administration or related field required

Proven interpersonal skills

At least three years of administrative and clerical experience required.

Proficient with Microsoft Office Suite (Word, Excel, Outlook, Teams, OneNote, PowerPoint, etc.)

Preferred

4-5 years of construction/related industry experience

Bachelor’s Degree in Business Administration or a related field

Experience with Sage 300 accounting software

Experience with corporate event planning

Summary pay range: $36-$46 Hourly
