Administrative Assistant II
The Allied Health Department is recruiting for one part time Administrative Assistant II to work 19 hours per week in the Texas AHEC (Area Health Education Center) East-Victoria Region office. Texas AHEC, is a federally and state funded program that strives to improve the quality of healthcare by improving the supply and distribution of healthcare professionals in rural and underserved communities. Programs include recruiting individuals into health professions, establishing community-based training for health profession students, providing health education, and networking with community partners to address unmet health needs. The TAE Program Coordinator is responsible for marketing and recruiting health profession students, developing and assisting with health profession opportunities for students, promoting public health and health career initiatives for both in person and virtual events. Ideal candidate will have knowledge of health profession education, enjoy working with students, faculty and community partners. *This position is supported by a five-year Health Resources and Services Administration (HRSA) grant.
Duties include, but are not limited to the following:
Market AHEC Scholars program to health profession students in our region and to our existing partnerships (Health Profession Schools)
Develop and coordinate AHEC Scholar activities for health profession students in our region.
Create and manage social media marketing strategies and content.
Communicate and support AHEC Scholars, input all data related to their coursework and progress.
Provide career navigation and advising to rural high school students interested in healthcare careers, including education pathways leading to certifications and college preparation for a health-related career.
Coordinate classroom presentations, workshops, guest speakers and field trips as requested by the five rural high schools participating in the Club Med program.
Create and maintain database and excel spreadsheets for all health profession students tracking their progress, graduation dates, didactic and experiential hours.
Process AHEC Transportation Award applications, AHEC Ambassador applications, and NCLEX Exam Awards.
Participates on all TAE Center meetings, virtual meetings and calls as requested.
Other duties as assigned by Project Director.
Qualifications:
Associate degree required or three years' experience in lieu of a degree, or currently pursuing a Bachelor's degree in Public Health, Communications, Marketing, Health Education or a related field.
Three years administrative experience required.
Experience with software, including MS Office, Internet, and email.
Experience with or willing to learn database management system.
Current Texas driver's license.
Required travel to regional schools, state conferences and professional development.
Excellent organizational, interpersonal, and written communication skills.
Discretionary judgment regarding confidential information.
Ability to accomplish basic business tasks, meet deadlines, and ability to learn and interpret policies and procedures.
The candidate should be confident, enjoy motivating students, mentoring and encouraging students in their career path. Leadership skills, good communication and classroom management are strongly desired.
Physical Demands:
While performing the duties of this job, the employee is regularly required to use hands and fingers to handle controls, key pads, etc. Will be required to sit and reach with hands and arms as well as, sit, stand and walk. The employee must frequently lift and/or move up to 15 pounds while loading office supplies and paper. Specific vision abilities required include close vision, some color vision, and the ability to adjust focus from documents to computer screen. Hearing of light to moderate sound is required by this job. The noise level in the work environment is usually moderate.
The following benefits apply to all part-time positions scheduled to work 20 to 29 hours or more each week. These part-time positions are also eligible to participate in our TRS retirement plan. Part-time employees: 50% VC paid; employee pays up to 66% for dependents
