Recruitment Coordinator, People Experience
to join its growing team. This role will serve as the first point of contact for employees, candidates, and visitors while playing a critical role in supporting recruiting operations—particularly for executive and senior-level searches. This individual will manage complex scheduling, coordinate on-site candidate experiences, and provide administrative support to HR leadership.
Key Responsibilities
Manage complex, multi-stakeholder interview scheduling across time zones, including executive-level searches.
Partner closely with Talent Acquisition and hiring teams to ensure efficient and seamless interview processes.
Coordinate all candidate logistics including travel, accommodations, and on-site agendas.
Build strong relationships with executives, Executive Assistants, and internal stakeholders to facilitate scheduling and protect interview timelines.
Act as the first point of contact for employees, candidates, and visitors, creating a welcoming and professional environment.
Manage day-to-day front desk operations including visitor check-in, deliveries, and office coordination.
Oversee conference room scheduling, training center coordination, and meeting logistics.
Partner with IT, Facilities, and internal teams to ensure seamless meeting and office operations.
Support company events, leadership visits, and on-site programs, including catering and hospitality.
Assist with onboarding logistics, including new hire welcome, badge coordination, and first-day readiness.
Provide administrative support to the CHRO and HR leadership, including calendar management and meeting coordination.
Maintain HR documentation, trackers, and confidential records with a high level of discretion.
Support employee engagement initiatives, training sessions, and internal communications.
Process expense reports and assist with operational and HR-related projects as needed.
Maintain accurate candidate and recruiting data within ATS systems.
Qualifications
2–4+ years of experience in recruiting coordination, HR support, executive administration, or office operations.
Experience in biotech, pharma, healthcare, or other fast-paced, professional environments preferred.
Proven ability to manage complex scheduling and coordinate across multiple stakeholders.
Strong organizational, multitasking, and problem-solving skills.
Excellent communication and interpersonal skills; polished and professional presence.
High level of discretion and ability to handle confidential information.
Bachelor’s degree preferred.
Compensation:
$75-90k range
