Job Summary
The HR Assistant is responsible for supporting the overall administrative and operational functions of the human resources department. The HR Assistant provides support and assistance in the following functional areas: data entry, employee records, professional development, wellness and engagement initiatives, and general office assistance.
This position is not eligible for telework. It is a part‑time role with a schedule of 4–5 days a week, 24–28 hours a week. Must be available to work between the hours of 8:00 am and 4:30 pm and in person on the North East campus.
Essential Job Functions
Serve as a first point of contact for visitors to the department.
Provide administrative support to the HR department including but not limited to meeting, interview, and room scheduling; reconciling and processing invoices; preparing reports and memos; updating the organizational chart; and maintaining office supply inventory.
Maintain the department’s shared email account and respond to general inquiries, routing email to the HR department as needed.
Provide administrative and data entry support for payroll processing in the HRIS system.
Prepare personnel action items and certificates for the monthly Board report.
Assist with preparation and coordination of HR department engagement initiatives such as All College Day, Employee Appreciation Day, and Wellness Fair.
Assist the HR Generalist with compliance‑related initiatives, including tracking employee progress and creating employee credentials.
Maintain the employee identification system with assistance from the HR Generalist.
Maintain the probationary schedule and related paperwork for employees and supervisors.
Track performance evaluation status for employees.
Maintain and update the shared calendar for the department.
Reconcile and process invoices.
Support onboarding initiatives as directed by the supervisor or designee.
Create and maintain employee files, organizing them according to records and retention schedules.
Retrieve fingerprinting results from designated websites and maintain those results as required by state and federal regulations.
Provide and gather data for new‑hire reporting to the Maryland New Hire Registry and the Department of Labor as required.
Assist with maintaining the human resource records retention schedule.
Assist the department with projects as needed.
Support cross‑collaboration with the college community by representing the department during special events.
Other duties as assigned.
Minimum Requirements To Perform Work
Associate’s degree required; Bachelor’s degree preferred.
Two years’ experience in an office setting required; experience in human resources preferred.
Knowledge, Skills And Abilities
Excellent Microsoft Office skills, including Word, Excel, PowerPoint, and Outlook; ability to generate reports from a human resource information system and other spreadsheets.
Excellent written and oral communication skills; ability to multi‑task, work independently, maintain excellent attention to detail, think critically, solve problems, analyze data, and adapt to changing priorities.
Physical Demands
This position classifies the physical exertion requirements as sedentary work involving lifting no more than 20 pounds at a time and occasionally lifting or carrying articles such as docket files, ledgers, and small tools. Although the role is mostly sedentary, a certain amount of walking and standing is often necessary to carry out job duties. The work is considered sedentary when walking and standing are required occasionally, and other sedentary criteria are met.
Work Environment
The work environment involves everyday risks or discomforts typical of office or meeting and training rooms, including safe workplace practices with office equipment, avoidance of trips and falls, and observance of fire and building safety regulations and traffic signals when driving.
