Position Overview
We are seeking a
Maintenance Planning Coordinator
to support maintenance operations at an industrial facility operating in a high‑corrosion environment. This role serves as a critical liaison between site leadership and maintenance teams, ensuring maintenance work is properly planned, resourced, and executed.
The position is approximately
50% office‑based planning and coordination
and
50% field‑based support , working closely with active maintenance teams and contractors. The ideal candidate is organized, proactive, hands‑on, and thrives in a collaborative, safety‑focused environment.
Key Responsibilities
Maintenance Planning & Coordination
Act as the primary
liaison between site leadership and maintenance teams
Plan and coordinate
preventive, corrective, and project‑based maintenance activities
Develop job scopes, plan work packages, and assist with maintenance scheduling
Track and manage work orders using a
CMMS
(e.g., SAP, Maximo, or similar systems)
Participate in maintenance planning meetings and coordination calls
Vendor & Contractor Management
Coordinate contractor activities and confirm scope alignment
Create, manage, and track
purchase orders (POs)
within the maintenance system
Monitor vendor performance and material delivery timelines
Ensure materials are ordered, received, staged, and ready for execution
Field Oversight & Execution Support
Conduct regular
field walk‑downs
to verify work readiness and progress
Confirm work aligns with approved scope, drawings, and safety requirements
Provide hands‑on coordination support for
piping, valves, and related systems
Validate material usage and support issue resolution in real time
Documentation, Reporting & Compliance
Maintain accurate maintenance records and documentation
Track project and maintenance progress
Support compliance, safety, and documentation requirements
Assist with reporting related to maintenance activities and performance
Required Qualifications
Experience & Skills
Experience in
maintenance planning, maintenance coordination, or maintenance management
Hands‑on experience using
CMMS systems
(SAP, Maximo, or similar)
Experience tracking:
Work orders
Purchase orders
Contractor activities
Ability to read and interpret:
Piping drawings
P&IDs
Equipment documentation
Experience working with
piping and valve systems
Vendor and contractor coordination experience
Supervisory or team oversight experience (formal or informal)
Strong organizational, communication, and problem‑solving skills
Comfort working both
in the office and in industrial field settings
Work Environment
Industrial facility comparable to a
small refinery
High‑corrosion operating environment requiring continuous maintenance
Strong emphasis on
safety, teamwork, and work ethic
Hands‑on, collaborative culture with close interaction between teams
