Position Summary
The primary responsibility of the Surgery Scheduler is to establish a good working relationship with physicians’ offices that perform surgery at the center, obtain all patient‑pertinent information, and schedule surgeries. The Scheduler also follows through on all paperwork prior to the scheduled surgery.

Position Responsibilities

Schedules surgeries in the surgery template in the computer, along with pertinent information.

Handles calls from physicians’ offices regarding scheduling patients, surgeries, or any calls associated with scheduled surgeries.

Answers the phone in a pleasant manner and deals with physician offices and patients’ needs expeditiously; takes messages and records them in the message book, and transfers calls to other departments.

Performs pre‑registration and ensures that authorization is obtained prior to the scheduled surgery.

Completes necessary paperwork for registration and uses the computer system to generate information for surgical or special procedures.

Sets up the surgery center chart and files appropriate paperwork needed in the chart.

Assists with receptionist and registration responsibilities.

Maintains various logs of daily activities, including canceled appointments and add‑ons, for monthly tallies needed.

Assists in maintaining office supplies and necessary forms and informs the Office Manager when supplies are needed.

Performs various clerical duties such as photocopying forms, reports, patient information, mailing surveys, preparing patient charts, faxing forms, and retrieving faxes.

Filing of received faxes in appropriate areas and filing reports in patients’ charts.

Maintains a clean and orderly surgery scheduling area.

Performs other related duties as assigned.

Functions efficiently as a member of the surgery center team.

Qualifications

High School diploma or GED required.

Minimum three years’ experience in health care and a minimum of one year experience in surgery scheduling procedures preferred.

Ability to work independently as well as function within a team; basic knowledge of surgery scheduling, receptionist and registration responsibilities, and the ability to handle stress.

General familiarity with medical terminology as it pertains to anatomy and surgical procedures for an operating room.

Must be able to use office equipment including phones, computer, fax, copier, and credit card machines.

Knowledge of customer service concepts and techniques.

Ability to prioritize and organize multiple tasks effectively.

Ability to communicate clearly in person and by phone and establish and maintain cooperative relationships with patients, family, staff, physicians, and others.
