We’re looking for a Finance & Operations Coordinator to support the financial side of our growing agency. This role will manage the day-to-day organization of invoicing, estimates, payroll coordination, and expense tracking while helping maintain clean and accurate financial records.

Because our work flows in cycles, this position requires someone who is organized, flexible, and able to adapt to shifting workloads. Some weeks involve daily estimates and invoicing, while others focus on financial organization and record management.

You’ll work closely with our Director of Finance, while also serving as a liaison between our internal team and clients for anything related to billing, estimates, or financial documentation.

What You’ll Do

Manage Client Invoicing:

Prepare and send invoices through QuickBooks Online, track payments, and maintain accurate client billing records.

Coordinate Estimates:

Assist in creating estimates and financial documentation for new projects and ongoing client work.

Track Expenses:

Monitor and categorize marketing, advertising, and operational expenses within QuickBooks Online.

Maintain Financial Records:

Enter and organize financial data to ensure accounts remain accurate and up to date.

Support Payroll Coordination:

Assist with payroll preparation and documentation as needed.

Manage QuickBooks Systems:

Maintain clean and organized financial records, ensuring transactions are properly categorized and reconciled.

Serve as a Financial Liaison:

Coordinate with clients and internal team members when questions arise around estimates, invoices, or payments.

Campaign + Ad Budgets:

Track ad spends, campaign budgets, and project allocations to ensure accuracy and profitability.

Support Financial Organization:

Help maintain internal systems that give leadership visibility into business performance and financial activity.

Who You Are

Highly experienced with QuickBooks Online and comfortable managing financial systems independently.

Skilled in accounting organization, financial categorization, and data entry.

Able to work independently while maintaining clear communication with leadership and the team.

Organized and detail-oriented, with the ability to manage multiple financial tasks simultaneously.

Comfortable working in a flexible environment where workloads may vary week to week.

Professional and confident when communicating with both clients and team members.

Dependable, trustworthy, and reliable — someone who takes ownership of their responsibilities.

Commitment
This is a part-time role requiring approximately 10–12 hours per week, with flexibility depending on the volume of estimates, invoicing, and financial coordination needed.

This position reports to the Director of Finance, while working collaboratively with the Level Ten team.

Compensation: $19–$23/hour, based on experience.
