About the Role
Culmen International, LLC is hiring for a
Front Office Operations/Administrative support
role to provide professional administrative services in support of the Commanding Officer (CO), Executive Officer (XO), Director for Administration (DFA), Deputy DFA, and Director for Resource Management.
What You'll Do in Your New Role
Assisting in the preparation of the command's correspondence, forms, reports, file plans and statistical materials, subject to final government approval (Daily).
Reviewing and routing official command correspondence for formatting and serializing (Daily).
Managing command mail distribution and document filing (Daily).
Coordinating and processing conference room reservations (Daily).
Review, and route official message traffic, such as Enterprise Task Management Software Solution (ETMS2) messages, as appropriate, ensuring all command tasker deadlines are met (Daily).
Ensure manpower coverage during typical business hours at the front office for the acceptance of command visitors, answering of phone calls, and daily business management for the command.
Organizing the Admin Share Drive, Records Management Folder, and applicable Command SharePoint pages (Daily).
Maintain and coordinate the Command Check-in/out process, ensuring timely completion and tracking of personnel movements (Biweekly).
Schedule and coordinate monthly Command Indoctrination sessions in accordance with directives (Monthly).
Manage the command's Medical Inspector General (MEDIG) program, ensuring all programs and collateral duties within its purview follow DoD and DoN directives and that all programs and collateral duties at any given time are ready for inspection (Quarterly).
Ensuring accuracy and timeliness of command reports, subject to final government approval (Monthly).
Manage the Command Indoctrination and Sponsorship Program (CISP), tracking training and ensuring proper assignment of sponsors (Monthly).
Assist in the development and upkeep of a standard operating procedure (SOP) for the operation of the command's front office, subject to final government approval (Annual).
Required Qualifications
Active DoD Secret Clearance.
High School diploma.
At least two (2) years of administrative experience.
Proficient in basic office functions of answering telephones, taking messages, and welcoming and escorting visitors.
Proficient in the use of Microsoft Word and Excel software programs.
Experienced with computer software, including the Microsoft Office Suite and Microsoft Windows programs.
Must have strong interpersonal skills and have excellent oral and written communication skills.
Qualify for CAC issuance and IT access.
Comply with Cybersecurity and Security protocols per DoDM 5200.2.
Comply with recurring Operations Security (OPSEC) training requirements.
