Role Overview
An administrative support specialist is sought to provide administrative and operational support to a team of approximately 20 professionals. This position supports team members engaged in regulatory, policy, and customer-facing work, and partners with senior leadership and an executive administrator. The role involves administrative tasks, calendar management, and light analytical work using Microsoft Excel.

Key Responsibilities

Provide calendar management for multiple team members.

Coordinate and manage domestic travel arrangements, including flights, hotels, and ground transportation.

Register leaders for conferences and external events.

Enter and track time in internal systems and assist with expense reporting.

Support legal and third-party billing review processes using Excel.

Assist with tracking, reviewing, and allocating costs across business entities.

Help maintain repeatable processes for recurring billing and reporting activities.

Work with a senior executive administrator for training and backup coverage.

Required Qualifications
Experience:

Prior administrative support experience in a corporate or professional office environment is required.

Technical Skills:

Proficiency in Microsoft Office, with strength in Excel, is necessary. The candidate should be comfortable learning new internal systems and tools.

Preferred Qualifications

Experience supporting teams that travel frequently.

Prior exposure to billing, invoicing, or cost tracking processes.

Experience working in a large, enterprise environment.

Ability to work autonomously and manage recurring processes.

Work Environment

Hybrid schedule: four days onsite, one remote day per week.

Office-based role with regular in-person collaboration.

Team-oriented environment.

Compensation & Benefits
The pay rate for this position ranges from $20.00 to $30.00 per hour.
