
Legal Administrative Assistant

A highly regarded, mid-sized law firm with a strong national reputation is seeking a Legal Administrative Assistant to support a team of senior attorneys in its Washington, DC office. Responsibilities:
Legal Document Production and Administrative Support:
Provide executive administrative and legal support to attorneys, including advanced document production in Word, Excel, and PowerPoint using standardized formats.
Prepare and revise legal documents, redlines, comparisons, tables of contents, and tables of authorities. Assist with presentation materials.
Calendaring, Meetings, and Travel Coordination:
Manage attorney calendars, schedule meetings, court appearances, and appointments, and provide reminders.
Coordinate complex domestic and international travel, including flights, accommodations, transfers, itineraries, and required documentation, and proactively manage last-minute changes.
Billing, Time Entry, and Financial Administration:
Manage attorney billing and financial processes in accordance with client guidelines and internal policies.
Assist with new client and matter setup; prepare and distribute monthly billing for attorney review.
Manage time entries; monitor deadlines; reconcile corporate credit card activity; and process expense reports.
Court Filings, Docketing, and Litigation Support:
Maintain working knowledge of state and federal court and agency filing procedures.
Coordinate filings, transcript requests, and litigation-related searches. Submit docketing requests and maintain deadline tracking systems.
Monitor case and motion deadlines and follow up with attorneys and paralegals as needed.
Document Management and Records Coordination:
Organize and maintain client and administrative files. Ensure documents are saved to appropriate workspaces.
Contact Management and Relationship Support:
Maintain attorney contact records within a customer relationship management system. Enter activity notes related to meetings, events, and business development efforts, and assist with basic calendar and email integration.
Office, Mail, and Administrative Support:
Process incoming and outgoing mail and deliveries. Coordinate copying, scanning, printing, and document production services.
Team Collaboration and Backup Support:
Act as an active member of an administrative support team by assisting attorneys and colleagues as needed.
Coordinate coverage with backup team members, remain aware of shared deadlines, and support team-based initiatives and projects.
Ideal Candidates Have:
5 + years of experience supporting attorneys, executives, or managers preferred.
College graduate with a bachelors degree or equivalent legal administrative experience in a law firm environment.
Experience managing multiple stakeholders, priorities, and shifting deadlines
Comfort operating at a high-support, high?touch level without needing an EA title
Clear, flexible communication style and comfort with evolving tools and technology (AI, Elite/3E)
