
Front Desk Associate

Summary
This position is located at the Unaccompanied Housing and performs front desk functions for the lodging program.
Duties
Ensures security and privacy of all guests is maintained at all times.
Demonstrates a welcoming manner, positive attitude, and effective communication skills. Professionally interacts with guests, answers questions about hotel facilities, provides information about local attractions, and assists in handling customer complaints, involving management as necessary.
Utilizes the Property Management System (PMS) to access guest information, retrieve reservation information, change or cancel reservations, register guests, verify registration information, secure a credit card for incidental expenses, authorize credit card for room charges, and provide guests with room keys or cards.
Receives requests and processes reservations, provides certificates of non‑availability (CNA) or alternative lodging when rooms are not available.
Registers and assigns rooms, issues room keys or cards, transmits and receives messages, keeps records of occupied rooms and guest accounts, makes and confirms reservations, and presents statements and collects payments.
Manages a change fund, prepares close bank reports, deposits cash receipts at each shift end per established procedures.
Inventory keys and supplies, keeps front desk and lobby clean and neat.
Runs and prints reports from PMS such as Expected Arrivals, Departure List, In‑House Guest List, Night Audit, and occupancy reports.
Verifies charge correctness, corrects errors and completes computer‑generated reports, notes discrepancies for management action.
Answers phones, transfers calls, replies to guest questions, logs trouble calls, and relocates guests as needed.
The position may require a rotating shift schedule. Work hours may be scheduled at any time during a 24‑hour day, 7 days a week.
Performs other related duties as assigned.
Conditions of Employment
Must be at least 18 years old to operate the POS system.
Must have salary sent to a financial institution by Direct Deposit/Electronic Funds Transfer.
Must successfully pass the E‑Verify employment verification check.
Will be considered ALPHA personnel, subject to work during inclement weather or other emergencies; the position requires a rotating shift schedule.
Must be able to communicate clearly and effectively in English, both verbally and in writing.
Qualifications
Preferred: 1 year of work experience demonstrating knowledge of basic principles, concepts, standards, and regulations related to hospitality operations.
Must be skilled in using a personal computer and various software programs.
Must possess basic math and reading skills.
Must be able to communicate clearly and effectively, both verbally and in writing, in English.
Education
