School Secretary
Position Title: School Secretary

FLSA Status: Non‑Exempt

Reports to: Site Administrator – Principal

Accountable and responsive to: Assistant Principals, Human Resource Manager, Superintendent and/or District Office Administration and Confidential District Office Staff.

Job Summary

Fill a position designated for School Secretary.

Act as office receptionist, making appointments, giving out approved information, answering phone calls and giving appropriate information to callers.

Perform typing and word processing tasks as required (forms, reports and correspondence).

Files and retrieves records according to an established filing system.

Proof reads written materials for accuracy, grammar and word usage.

In small schools, maintain student body financial records.

Operate standard office equipment effectively.

Able to access, input, retrieve information from a computer and key 40 wpm.

Maintain confidentiality.

Fulfill other related duties as assigned.

Fulfill performance standards identified in the evaluation process as required by the position.

Fulfill working conditions and physical effort listed below.

Minimum Qualifications

High school diploma or post‑high school certification.

Able to relate well to students, staff and public.

Read, understand and carry out oral and/or written instructions.

Able to work effectively with minimum supervision, learn assigned tasks readily and follow established routines and procedures.

Adhere to the federal requirements of a drug‑free work place.

Accurately transfer, record and convey information, materials and money, as required by the position.

Able to perform satisfactorily on the district's basic skills test.

Knowledge of the district's purchase order system.

Possess or be able to obtain First Aid and CPR certification.

Computer technology and other equipment used in the workplace, as required by the position.

Working Conditions and Physical Requirements

Length of Year: Days as assigned. Length of Day: As assigned by Supervisor.

Possess the physical ability to regularly attend work and fulfill the essential functions of the position, with or without reasonable accommodation.

Responsibilities require the employee be able to sit for long periods of time.

Working closely with students can be physically and emotionally demanding.

Standing, walking, stooping, kneeling or crouching; frequent reaching above the shoulders; close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus.

Gov. Kate Brown has directed that Oregon will implement a legal requirement that all public and private school teachers, staff and volunteers must be fully vaccinated against COVID‑19. "Fully vaccinated" is defined as 14 days after receiving all required doses of an approved COVID‑19 vaccine (currently two shots of Pfizer or Moderna vaccine, or one shot of Johnson & Johnson vaccine). All staff members will need to provide proof of COVID‑19 vaccination. Exceptions may be made only for eligible medical or religious reasons. There will not be an option to opt out for other reasons or choose testing in lieu of vaccination, under the state mandate.
