Assistant Director, Health Care Administration
Position: Assistant Director, Health Care Administration at the University of Florida.

Job Description
Financial Responsibilities

Work with the Division Chief on developing a divisional budget in accordance with the principles and guidelines developed by the Department and College of Medicine’s Financial Services Division.

Ensure the Division’s budget meets its annual goals and targets and is accurate and reasonable.

Maintain accuracy of the division’s financial reports and internal controls over financial reporting.

Understand and implement departmental and College policies and procedures regarding fund sources, and contribute to the financial objectives of Division, Department, and College.

Ensure compliance with University accounting rules, including federal and state regulations.

Safeguard divisional assets by protecting and accounting for resources such as cash and fixed assets.

Approve or delegate approval for all purchase requisitions, travel authorizations, vouchers, and payment requests submitted from the division.

Provide financial information and analysis to the Division Chief for strategic decision‑making.

Assist the Division Chief with negotiating, implementing, and monitoring contracts.

Ensure divisional fiscal staff is adequately trained.

Clinical Operations / Revenue Cycle Management Responsibilities

Develop the clinical revenue budget based on expected provider activity, payer, and procedure mix.

Educate providers on coding/reimbursement/compliance, HIPAA, and other regulatory requirements.

Ensure providers are trained and monitored on coding accuracy and the division’s charge capture systems.

Collaborate with the Department’s Clinic Director and clinic managers to develop visit projections and expense budgets.

Review practice metrics and collaborate with the Department’s Clinic Director, clinic managers, and physicians to improve practice performance.

Analyze clinical collections to identify problems and develop solutions.

Prepare analysis of clinical activity for use in strategic decisions.

Faculty Productivity Tracking Responsibilities

Develop and maintain the divisional faculty productivity tools on a weekly, monthly, and annual basis.

Update faculty salary distributions and assignments to accurately reflect and project productivity.

Maintain processes for compensation plan management and communications regarding faculty assignment, benchmarks, incentives, salary increases, and reductions.

Divisional Administrative Responsibilities

Supervise all administrative functions of the division.

Directly supervise and mentor the divisional administrative support, fiscal, and fellowship program staff.

Train, supervise, and mentor office staff by delegating effectively.

Provide staff with growth opportunities, professional training, and tools necessary for effective work.

Supervise the accounting of divisional physical inventory.

Facilitate major renovations and relocations for the division.

Ensure divisional web site content is accurate and current.

Send correspondence to recent donors of divisional foundation accounts.

Human Resources

Coordinate and manage divisional HR and appointment activities for faculty, teams, operations, housestaff, and graduate assistants, including hiring, reappointments, promotions, evaluations, time‑keeping/leave, licensure, and immigration.

Provide guidance to the Division Chief regarding recommended salaries for new hires.

Coordinate with college or university work units on payroll and HR issues.

Coordinate with representatives of the Malcolm Randal VA Medical Center on faculty VA appointments.

Ensure salary and fringe benefit costs are distributed to the appropriate funding source.

Participate in resolution of personnel issues and problems.

Provide salary benchmark data to the Division Chief for determining starting salaries and increases.

Academic Administrative Responsibilities

Assist the Division Chief with coordinating and managing the tenure and promotion process, faculty mentoring program, and mid‑career review for tenure‑accruing faculty.

Ensure semester effort reports are completed and authorized timely using the University of Florida’s online faculty effort reporting system.

Ensure annual faculty evaluations are completed, distributed, and returned to the Department Chair, including mission assignments and RVU targets in evaluation letters.

Other Duties as Assigned

Serve as divisional liaison for the Department of Medicine, College of Medicine, and University of Florida committees.

Participate in committees and task forces at the direction or nomination of the Division Chief or the College of Medicine.

Return, as needed, to compensation plan support for DOM.

Salary
$90,000 – $105,000 annually

Required Qualifications

Master’s degree in an appropriate area and two years of relevant experience,

or

a bachelor’s degree in an appropriate area and four years of relevant experience.

Preferred Qualifications

Master’s degree in Health Care Administration, Business Administration, or equivalent, with one year of relevant experience,

or

bachelor’s degree in Health Care Administration, Business Administration, or an appropriate area, with four years of experience.

Ability to plan, manage, organize, coordinate assignments, and monitor activities of multiple projects simultaneously.

Strong data analytic skills.

Knowledge of University of Florida fiscal spending, personnel services, and contract negotiation rules and regulations.

Knowledge of University of Florida Personnel, Purchasing, and Fiscal policies and procedures (preferred).

Proficiency in Excel.
