
Real Estate Transaction Listing Coordinator

This role is ideal for a highly organized professional who enjoys managing systems, paperwork, and listing coordination behind the scenes while supporting a productive real estate team. We are looking for a detail-oriented Transaction and Listing Coordinator to support our agents by processing transaction paperwork, keeping our systems up to date, and managing listing documentation and marketing support. Unlike traditional transaction coordinator roles, our agents manage timelines, deadlines, and scheduling. Your focus is on accuracy, organization, and ensuring all files and listings are complete and compliant.
Responsibilities
Process and organize transaction paperwork from contract to closing
Ensure all documents are complete, accurate, and compliant
Maintain and update transaction records in our systems and CRM
Check in with agents for transaction updates and keep files current
Prepare and manage listing paperwork and documentation
Enter and maintain MLS listings
Order and coordinate marketing materials for listings
Ensure all listing information and documentation are complete and accurate
Coordinate communication between agents, clients, attorneys, lenders, and vendors
Help ensure every client receives an exceptional experience
Support leadership and agent success by providing reliable administrative and systems support that allows agents to stay focused on clients and production
Qualifications
Highly organized with strong attention to detail
Excellent communication and follow-up skills
Ability to manage multiple transactions at once

Strong problem-solving ability
Comfortable learning and using real estate systems and technology
Reliable and proactive
Ability to work in the office Monday-Friday, 8 am-4 pm
Preferred Experience
Real estate transaction coordination or administrative experience
Familiarity with NJ real estate contracts and timelines
Experience with CRMs or transaction management systems
Experience with any of our systems is a plus! Sisu, Follow Up Boss, My Deals, Transaction Manager
Compensation
$28 hourly + bonus potential
