Responsibilities
The Office Manager is the heartbeat of the firm, keeping operations smooth, the team supported, and clients impressed. Key duties include:

Office Operations

– Keep the office running like clockwork, maintain calendars, files, and records, and manage supplies, equipment, and vendor relationships.

Financial Support

– Client billing, invoicing, collections, and expense tracking; help manage budgets and timekeeping; manage all day‑to‑day bookkeeping operations; maintain and reconcile trust (IOLTA) accounts in full compliance with legal standards; track replenishments of retainers and manage trust account budgets; perform monthly reconciliations and produce timely, accurate financial reports; assist in budget development, cash flow tracking, and financial forecasting; provide financial data support to attorneys; ensure all processes adhere to regulatory and ethical accounting standards.

Team Leadership

– Supervise and mentor administrative staff, coordinate onboarding and training, manage schedules, and uphold office policies.

Tech & Compliance

– Oversee legal software and IT tools (experience with MyCase is a plus), ensure data security and compliance with regulations.

Client Experience

– Oversee front desk operations and client intake, maintain a warm, professional, and confidential environment.

Qualifications

2+ years of bookkeeping experience, ideally in a law firm or professional services setting.

3+ years of office management experience (legal field a plus).

Stellar communication and leadership skills.

Proficiency with Microsoft Office and legal management software.

Ability to juggle tasks, meet deadlines, and lead with confidence.

Compensation
Hourly rate: $28 – $35.00.
