
Recruiting Coordinator

Responsibilities
Responsible for maintaining the applicant tracking system and maintaining open requisitions. The recruitment coordinator will work with hiring managers, team members, and outside vendors to hire qualified candidates. The recruitment coordinator sources qualified candidates, assists in the interview process, and ensures employees are onboarded in a timely and effective manner. This position acts as a liaison between the recruiting team, candidates, hiring managers, and operations teams.
This position will be the point of contact for onboarding processes including background checks and pre-employment screening (including physical, drug and alcohol tests). Contributes to building a positive team environment through commitment, respect, and communication.
Work with Human Resources management to assist with the planning, communicating, and tracking of hiring needs.
Partner with hiring managers on recruiting strategies such as sourcing candidates via job boards, promoting jobs using social media, and partnering with third party recruiting firms.
Source and disposition candidates within requisitions as needed. This includes administering a daily process of entering requisitions, checking the status of requisitions, reaching out to pending approvers, scheduling interviews as needed, notifying candidates who are not qualified or not selected, coordinating pre-employment screening, processing hires, and coordinating system onboarding activities.
Participate in staff meetings and attend operations meetings and safety meetings.
Prepare and post job availabilities and maintain the list of candidates, including posting positions on job boards.
Facilitate recruiting meetings with hiring managers on an as-needed basis.
Create offer letters for candidates.
Initiate background checks for candidates and communicate reports to HR for review once completed. Initiate pre-adverse and adverse letters as needed.
Communicate with candidates to report to facilities to complete screenings.
Run candidates through Continuous MVR monitoring.
Initiate onboarding documents for candidates. Once completed, finalize hire within the HR system. Communicate with managers to update regarding new hires, including start date and new hire instructions.
Prepare orientation agenda for new hires.
Verify applicant information as needed, such as SSN, I-9 documents, and other sensitive information.
Handle and maintain all necessary electronic files, including electronic I-9s.
Answer routine questions from employees and managers regarding system, hiring, policies, or procedures.
Answer new employee questions regarding payroll and time off balances.
Ability to establish healthy working relationships with hiring managers, team members, and candidates by providing prompt, effective communication.
Ability to adapt to a changing environment and to effectively prioritize job duties.
Ability to complete tasks with a high level of accuracy.
Ability to meet or exceed internal and external customer needs and expectations.
Ability to perform work accurately and thoroughly.
Ability to utilize available time to organize and complete work within given deadlines.
Ability to communicate in writing clearly and concisely.
Ability to communicate effectively with others using spoken language.
Ability to pay attention to the minute details of a project or task.
Ability to get along with a variety of personalities and individuals.
Ability to manage confidential information.
Education/Experience
High School Graduate and two to four years related recruiting experience.
Associate’s or Bachelor’s Degree preferred; prior Human Resources experience preferred.
Computer Skills
Proficient in Microsoft Office applications (Word, Excel, Outlook). Previous experience with Applicant Tracking systems and onboarding tracking systems preferred. Familiarity with HR databases and applicant tracking systems.
Certificates & Licenses
Professional Human Resource Certification preferred.
Working Conditions
Office environment.

Up to 10% travel, including branch visits and company-sponsored hiring events.
