We’re looking for an Onboarding Specialist who is passionate about people, energized by process improvement, and proud of delivering a top‑notch, white‑glove onboarding experience for both new hires and hiring managers. Your Impact
As the Onboarding Specialist, you will independently manage the end‑to‑end onboarding experience for new hires across all roles, departments, and multi‑state locations—from offer acceptance through first‑day readiness and early integration milestones.
You’ll serve as a key connector between Recruiting Specialists, HR Generalists, Payroll, IT, Office Administration, and hiring leaders, ensuring onboarding is compliant, efficient, engaging, and consistently high‑quality.
What Success Looks Like
Create a white‑glove onboarding experience
Own full‑cycle onboarding activities from pre‑hire paperwork through first‑day readiness and early milestones
Serve as the primary point of contact for new hires, providing clear communication, guidance, and timely follow‑up
Ensure every new hire feels welcomed, informed, and confident before day one
Coordinate onboarding schedules, orientation sessions, and first‑day logistics with precision and care
Deliver an onboarding experience that feels polished, thoughtful, and people‑first
Be a trusted partner to stakeholders
Collaborate closely with Recruiting Specialists to ensure a seamless handoff from recruiting to onboarding
Work alongside HR Generalists to align onboarding with employee lifecycle standards and company culture
Partner with Payroll to ensure accurate and timely setup of employee records and pay
Coordinate with IT to ensure systems access, equipment, and tools are ready before day one
Work with Office Administration to support location‑specific and logistical needs
Build strong, trusting relationships with hiring managers, keeping them informed, supported, and confident throughout the onboarding process
Operate with excellence and accountability
Ensure accurate and timely completion of onboarding documentation within HRIS, I‑9/E‑Verify systems, and personnel files
Monitor onboarding status and milestones to ensure compliance, readiness, and completion prior to start dates
Apply sound judgment, discretion, and attention to detail while managing multiple workflows simultaneously
Improve, innovate, and elevate
Identify opportunities to improve onboarding workflows, tools, communication, and the overall employee experience
Bring forward ideas that enhance efficiency, scalability, and engagement
Participate in HR projects, system enhancements, and training initiatives
Support special projects related to onboarding, orientation, and broader employee lifecycle improvements
Perform other related or special duties as needed to support the team and business
What Experience You Bring
Minimum 1 year of experience in onboarding, HR operations, talent acquisition, or a related HR function
Proven ability to manage multiple onboarding workflows independently in a fast‑paced environment
Strong organizational skills with exceptional attention to detail and follow‑through
Excellent verbal and written communication skills
Demonstrated ability to build effective working relationships with new hires, hiring managers, and cross‑functional partners
Working knowledge of HRIS systems, onboarding platforms, background screening, and I‑9/E‑Verify processes
Ability to exercise sound judgment, manage deadlines, and maintain confidentiality
Bachelor’s degree in Human Resources, Business Administration, Communications, or a related field preferred (or equivalent experience)
