Part-Time Payroll Specialist

Overview

The position is responsible for the setup and monitoring of payroll-related taxes in multiple states, tax filing and audits. Works closely with Human Resources, Accounting & Finance and external vendors on payroll tax related items. Will also support the processing of payroll for CCG and subsidiaries, ensuring timely and accurate processing while maintaining compliance with regulatory requirements. Also supports the preparation of payroll processing reports for accounting and human resources as necessary.
Responsibilities

Prepare and submit payroll tax filings and returns, forms, and reports to appropriate agencies
Research and resolve payroll tax notices and agency inquiries
Prepare various payroll and management reports for workers compensation and reconcile quarterly payroll taxes
Support bi-weekly disbursement of multi-state payroll, consistent with federal, state and local wage and hour laws
Support accurate and timely payroll execution, including base salary, bonuses, and special payments
Maintain accurate employee tax setup (withholdings, jurisdictions, etc.)
Work closely with payroll services vendor and IRS agencies to manage employee payroll tax across multiple states
Support to ensure systems are set-up and updated to reflect current employee compensation, benefits, and PTO time in line with policies by subsidiary
Handle tax withholdings, garnishments, deductions, and unemployment payroll tax related items
Process manual checks as requested by Human Resources or Accounting
Process reimbursements through payroll processing
Reconcile payroll bank statements and review the accuracy of payroll deductions to payroll output documents
Audit master file and pay data entries, payroll balance sheets, YTD totals and earnings, W-2s, and file amendments
Prepare relevant management reports, including weekly, monthly, quarterly and year-end reports
Assist with payroll system updates, testing, and implementations
Respond to employee inquiries and requests regarding payroll matters
Maintain client confidence and protect operations by keeping information confidential
Communicate actively with Operations, HR and Billing to review cross-departmental impacts and reconcile data sharing
Stay current with changes in laws and regulations and ensure timely updates to payroll policies and practices
Qualifications

Education:

Associate’s degree in accounting, finance, human resources, or a related field preferred.
Experience:

1-2 years of payroll tax experience working with a multi-state payroll.
Computer Skills:

Experience with MS Office Suite (especially Excel). Knowledge of SaaS HRIS payroll systems (UKG Workforce Ready is a plus).
Certificates & Licenses:

Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) is a plus.
Other Requirements:

Knowledge of payroll processes and systems, regulatory compliance and requirements. Strong analytical skills and attention to detail. Confidentiality and integrity to handle sensitive information with discretion. Strong communication skills that are clear and effective when working with others.
