Monday-Friday, 9:00 AM - 2:00 PM (with potential to grow to full-time)
A small construction services company in Elkridge is seeking a reliable and detail-oriented
Part-Time Administrative Assistant
to support daily office operations. This is a fully in-office role with the opportunity to convert to a permanent position and increase hours over time.
The ideal candidate has prior administrative experience with a construction company, strong communication skills, and the ability to work professionally in a fast-paced, small-team environment. This role works closely with ownership and field staff and requires resilience, attention to detail, and clear communication.
Key Responsibilities
Answer and manage incoming phone calls; take accurate messages
Log, track, and update construction jobs using internal systems and spreadsheets
Prepare and process construction invoices (AIA and standard invoicing), including follow-up collection calls
Process incoming payments, deposits, and checks
Open, sort, and distribute daily mail
Coordinate utility notifications with Miss Utility
Create and maintain job packets, project folders, and documentation
Assist with job scheduling and administrative tracking
Maintain DOT, OSHA, and vehicle compliance documentation
Coordinate driver compliance and track required renewals
Collect and organize employee timesheets (no payroll processing)
Assist with job costing, contracts, and inventory tracking
Order office supplies and maintain office equipment
Communicate effectively with management and field employees
Qualifications
High School Diploma required; some college preferred
Minimum of 5 years of administrative experience
Construction or trades industry experience
Strong communication and organizational skills
Proficiency with Microsoft Word, Excel, and Outlook
Experience with construction invoicing systems (AIA forms preferred)
