Caine School of the Arts Administrative Assistant

The Caine School of the Arts is seeking a detail oriented, proactive, and service focused individual to support daily office operations and ensure the smooth functioning of the School of the Arts. This position serves as a key point of contact for students, faculty, staff, and visitors while providing essential administrative and event support.
Schedule: 1:005:00 p.m. MondayFriday, with flexibility
Reception & Office Support

Answer and route incoming phone calls
Greet and assist visitors
Sort and distribute mail
Collect checks for Caine School Business Services Personnel
Make copies and scan documents
Maintain office supply inventory
Update and distribute directories
Send school wide emails to students, faculty, and staff as requested
Support college events, including occasional travel as well as evening and weekend work
Submit and manage Caine School Surplus requests
Additional duties as assigned
School Website Management

Serve as the primary liaison between the Caine School and the IT website team
Keep differential tuition pages, and other Caine School website content up to date
Update directories, deadlines, and other key information
Prepare content for posting and coordinate with IT for publication
Review Caine School and associated web pages and notify appropriate personnel when content needs updating
Additional duties as assigned
Differential Tuition & Visiting Artists and Scholars Series

Collect and upload proposal materials to Box
Collect and upload follow up reports for VASS and Differential Tuition Student Travel programs
Update differential tuition project signage as necessary
Additional duties as assigned
Student Support

Collect Summer Arts Research Grant and URCO Grant proposal submissions
Maintain, stock, and organize the School of Arts food pantry
Additional duties as assigned
Qualifications

Minimum Qualifications
Minimum of 1-year related office experience
Reliable, professional, and highly organized
Strong verbal, written, and interpersonal communication skills
Knowledge, Skills, and Abilities
Ability to work independently and collaboratively
Excellent organizational skills and attention to detail
Proficiency in Microsoft Word and Excel; ability to learn additional database systems with training
Strong clerical and record keeping skills, including familiarity with filing and information management systems
Ability to operate standard office equipment (copiers, phone systems, printers, etc.)
Ability to maintain confidentiality and handle sensitive information appropriately

Employees work indoors and are protected from weather and/or contaminants, but not, necessarily, occasional temperature changes. The employee is regularly required to sit and often uses repetitive hand motions. The employee is frequently required to reach with hands and arms and may lift and/or move up to 10 pounds.
