Job Summary

The Reservations Coordinator supports conference and event operations by managing all reservations and coordinating select low-complexity meetings. This role operates Monday through Friday, 8:00 AM to 5:00 PM, and ensures a seamless client experience by partnering closely with internal teams to execute meetings and events to a high standard.
Key Responsibilities
Handling meeting room bookings, utilizing the reservation system, and focusing on the strategic assignment of meeting space to maximize utilization.
Take phone, online and walk-up reservations, answering inquiries about services, availability, and pricing, and maintaining accurate records of all bookings.
Offer warm and welcoming communication by phone, to our internal and external guests and assist with any special requests and will provide the highest level of customer care.
Manage calls, field questions and respond to customers thoughtfully and independently. Exercise good judgment and a strong intuition to anticipate the needs of each customer.
Process cancellations and modifications, relay important details to relevant departments, and ensure that guest preferences or special requests are met.
Report daily/weekly activity updates to the department manager.
Inter-departmental Communication regarding guest needs, requests, or issues.
Safeguard the well-being of our members and staff by diligently adhering to security, fire, health, and safety protocols, fostering an environment of trust and security.

Preferred Qualifications
Committed to delivering a high level of customer service.
Possess excellent communication skills and attention to detail with a commitment to delivering efficient service in all aspects of the reservationist role.
The ability to work under pressure, prioritizing tasks and manage multiple tasks simultaneously.
Ability to process information in a timely manner with acute attention to detail.
Excellent listening and oral communication skills.
Advanced computer skills and knowledge of office technology, reservation software and equipment.
Punctual, dependable and dedicated to achieving operational excellence, down to the smallest of details.
Discreet, ethical and committed to maintaining a high degree of confidentiality.
A consistently professional approach, with a mindset to take ownership and responsibility within and outside one's job domain.
Two years' experience in a client service / front of the house position within a hospitality or corporate environment.
