The Accounts Receivable / Cargo Payroll Assistant is responsible for the accurate and timely invoicing of cargo escort clients and the reconciliation of payroll for cargo escort personnel and off-duty law enforcement officers. This role plays a critical part in ensuring billing integrity, payroll accuracy, and operational efficiency across escort assignments.
Key Responsibilities
Accounts Receivable (Billing & Invoicing)
Prepare, review, and issue invoices based on completed cargo escort trips
Verify trip details including duration, rates, assigned personnel, and contractual terms
Ensure all invoices are supported by approved Proof of Delivery (POD) documentation
Track invoice status, payments, and outstanding balances
Assist in resolving billing discrepancies and client inquiries in a timely manner
Maintain accurate and organized financial and billing records
Cargo Payroll Support
Compile, review, and reconcile payroll hours for escort personnel and off-duty officers
Cross-check reported hours against trip logs, schedules, PODs, and dispatch records
Ensure proper application of pay rates, travel time, and applicable premiums
Identify and resolve discrepancies prior to payroll submission
Maintain confidentiality of all payroll-related information
Coordination & Compliance
Collaborate with dispatch, scheduling, and operations teams to verify trip accuracy
Ensure compliance with company policies, contractual obligations, and labor guidelines
Support internal reporting and assist with process improvements to enhance efficiency
Maintain strict attention to detail in all financial and administrative tasks
Qualifications
Previous experience in accounts receivable, payroll processing, or administrative finance roles preferred
Experience in logistics, transportation, or security operations is a plus
Strong attention to detail and organizational skills
Ability to analyze and reconcile data across multiple sources
Proficiency in Microsoft Office (Excel, Outlook, Word); QuickBooks or similar systems preferred
Strong communication and problem-solving skills
Ability to handle sensitive information with discretion and professionalism
Work Environment
Office-based role with regular interaction across operations, dispatch, and administrative teams
Fast-paced environment requiring accuracy, efficiency, and the ability to meet deadlines
