Lead Administrative Assistant to Principal

Responsibility
The Administrative Assistant reports to the building Principal and Associate Principal
Preferred Qualifications
Associates Degree preferred
3-5 years of previous administrative experience
Proficient with Google Suite, MS Office Suite, Munis, Aspen and other web-based tools and systems.
Ability to work collaboratively, and interact and communicate at all levels within the district
Demonstrated attention to detail and accuracy
Demonstrated ability to take initiative, establish work priorities, and work independently with minimal supervision
Demonstrated ability to maintain confidentiality, required
General Duties
The duties of the Administrative Assistant to the Principal & Associate Principal requires working with a minimum of supervision, performs duties of varied and responsible nature, requiring accuracy, good judgment, confidentiality, and the ability to work well with people under pressure.
Specific Duties
Manage the calendars and phone calls for Principal & Associate Principal
Employee & Students Accident Reports
Schedule teacher evaluations during appropriate blocks within the required timelines for Principal and Associate Principal
Preparing all documents for meetings (Staff, external, etc)
Process legal requests for complete student records and ensure that all documents are scanned, encrypted, and sent within the compliance timelines
Develop and maintain an inventory of technology in all classrooms.
Send out school wide emails and develop and maintain the Staff Info Document, Telephone Directory, and Staff Shared Drive, Help Forms, etc
Morning Announcement coordination with Wildcat Leaders
Grading Windows & Publishing Report Cards
Set windows in Aspen, notify staff of upcoming openings and closings, run verification reports and notify teachers who did not post grades, publish progress reports and report cards to parents each term.
Correcting grades for teachers as needed
Work with Data Specialists at Admin as needed with Aspen issues
Managing all digital signage
Outdoor Sign
Main Lobby, Broadcast, Cafeteria (4), Auditorium
Managing Website
MCAS Clerical Coordination
Create folders and include all required documentation
Coordinate any receiving or shipping of materials
Management of after school clubs and athletics
Ensuring appointments were made by HR
Ensuring clubs are running
Managing stipends when clubs/sports are complete
Field Trip Coordination
Ensure forms are signed by all parties and sent to Admin. Once approved, add to Staff Calendar
Facilities
Work with building custodial staff to ensure that work orders are placed for building issues needing attention.
Work with Head Custodian to coordinate vending machine orders, deliveries, and payments.
Assume the duties of the other secretaries during the summer break
