Job Title: Payoff & Warranties Clerk
The Payoff & Warranties Specialist is responsible for managing all vehicle payoff processes, warranty submissions, and related administrative tasks within the dealership. This role ensures accuracy, compliance, and timely processing of all financial and warranty documentation. The ideal candidate is detail‑oriented, organized, and comfortable working in a fast‑paced automotive environment.
Key Responsibilities
Process vehicle payoffs for trade‑ins, including verifying payoff amounts, preparing payoff checks, and coordinating with lenders.
Track and follow up on title releases from financial institutions to ensure timely completion.
Submit warranty claims accurately and in accordance with manufacturer guidelines.
Maintain detailed records of all payoff and warranty transactions.
Communicate with lenders, manufacturers, dealer departments, and internal teams to resolve discrepancies.
Assist the finance and accounting departments with reconciliation of warranty payments and payoff schedules.
Ensure all processes comply with dealership policies, state regulations, and manufacturer requirements.
Provide exceptional customer service to internal and external stakeholders.
Qualifications
Previous experience in automotive dealership operations, finance, accounting, or warranty processing preferred.
Strong understanding of vehicle titles, payoffs, and warranty procedures.
Excellent attention to detail and accuracy.
Strong organizational and time‑management skills.
Ability to work independently and manage multiple deadlines.
Proficiency with dealership management systems (DMS) and Microsoft Office.
Strong communication and problem‑solving skills.
Work Environment
Full‑time position within the dealership’s administrative or accounting office.
Fast‑paced environment requiring multitasking and consistent follow‑through.
Collaboration with finance, service, sales, and accounting teams.
