HR Onboarding Specialist
Summary
The Onboarding Specialist is responsible for coordinating, executing, and overseeing onboarding activities for new hires from offer acceptance through their first day of employment. This role involves interacting with new hires to ensure all required onboarding documentation is completed accurately and in a timely manner. The successful candidate will demonstrate a high standard of customer service by effectively coordinating and scheduling pre‑employment assessments, ensuring all processes are executed with accuracy, efficiency, and professionalism.
Essential Duties and Responsibilities
Responsible for coordinating and scheduling pre‑employment assessments such as drug and alcohol screens, background checks, physicals, etc for designated business units
Maintain effective communication with clinics to ensure proper documentation is received for pre‑employment assessments and promptly address any issues as needed
Respond to incoming calls and text messages from newly hired employees regarding hiring processes, onboarding steps, and company policies
Process new hires through recruiting, onboarding, and employee record systems, including HR HCM and KPA, to ensure accurate and timely completion of all required steps
Reviews onboarding paperwork for thorough completion and handles Personal Identifiable Information (PII) with sensitivity and confidentiality
Add and maintain employee records in HR HCM, including employee IDs, licenses, qualifications (QD status), and verification details
Updates onboarding tracker daily and verifies progress of each new hire's onboarding process
Works closely and proactively with the HR Business Partners to provide candidate updates and solutions to onboarding issues
Oversee MOTUS platform, including new hire setup, terminations, and vehicle allowance program eligibility updates
Other duties and projects assigned
Required Education, Qualifications and Experience
Associate degree in HR or related field
Minimum two (2) years of relevant experience
Strong organizational skills with the ability to successfully complete several tasks concurrently, maintain high level of attention to detail, documentation, and record keeping to meet deadlines
Excellent written and verbal communication skills along with self‑motivating skills
Excellent customer service skills and the ability to deal with employees at all levels
Must exercise the highest level of confidentiality
Computer
Proficient in all MS Office tools (Excel, Word, PowerPoint, Outlook)
KPA (Training System)
Pre‑Employment Requirements
Must complete and pass all required pre‑employment screenings
