We are seeking a Records Management Specialist to support a federal client in Washington, DC. This role is responsible for managing records lifecycle operations, supporting Freedom of Information Act (FOIA) and Privacy Act (PA) requests, and ensuring compliance with federal records management, privacy, and information governance requirements. The position operates within a structured federal environment and requires strong attention to detail, accuracy, and process discipline.
The ideal candidate has hands‑on experience supporting federal records programs, FOIA workflows, and enterprise content and case management systems such as SharePoint and Salesforce.
Key Responsibilities
Manage records lifecycle activities including creation, maintenance, retention, and disposition in accordance with federal records management requirements
Support Freedom of Information Act (FOIA) and Privacy Act (PA) request processing including intake, tracking, document retrieval, coordination, and response preparation
Maintain, organize, and administer records within SharePoint and other enterprise content management systems
Support Salesforce CRM system operations including data maintenance, workflow support, and reporting activities
Assist in the development of FOIA and records management reports, dashboards, and compliance tracking metrics
Support data governance initiatives to ensure accuracy, accessibility, and compliance of records and information assets
Collaborate with legal, compliance, and program teams to ensure adherence to federal records retention and disclosure requirements
Assist in developing and maintaining records management policies, procedures, and workflows
Support system improvements and integrations across records management and CRM platforms
Maintain records indexes, compile reporting data, and support structured information management processes
Provide user support and guidance on records management systems, workflows, and processes
Ensure deliverables are accurate, complete, and reviewed for consistency and quality
Execute PowerShell scripts to support reporting, data extraction, and records management automation tasks
Required Qualifications
High school diploma or equivalent required; associate or bachelor’s degree in Information Management, Library Science, Information Systems, or related field preferred
3+ years of experience in records management, FOIA processing, Privacy Act support, or information governance
Government experience required
Experience supporting federal records management programs, FOIA processes, and compliance workflows
Hands‑on experience with:
Microsoft SharePoint (content management, permissions, and site administration)
Microsoft 365 environments
Salesforce CRM or similar enterprise case management systems
Records management or electronic content management systems
Reporting and data tracking tools
Familiarity with FOIA and Privacy Act processes, requirements, and timelines
Strong understanding of federal records retention policies and compliance standards
Strong organizational skills with ability to manage multiple priorities in a deadline‑driven environment
Strong written communication, documentation, and proofreading skills
Ability to maintain accuracy and consistency in structured records and reporting environments
Desired Qualifications
Experience with PowerShell scripting or automation for reporting and records management tasks
Experience supporting federal audits, compliance reviews, or legal discovery processes
Familiarity with electronic records management systems (ERMS)
Advanced Salesforce experience including workflow configuration or reporting
Experience supporting data governance or information governance programs in enterprise environments
Exposure to federal compliance frameworks such as NIST, FISMA, or Privacy Act implementation support
