Join our team!

We are seeking full‑time Administrative Coordinators across the state of New Jersey to support our team of Consultation Coordinators in helping patients get into treatment for Spravato and Transcranial Magnetic Stimulation (TMS). The Administrative Coordinator works on patient cases as assigned by their Consult Coordinator(s) to ensure patients begin treatment quickly.

Role Overview
The role collaborates with various departments throughout the company to complete the patient journey efficiently. Key duties include submitting prior authorizations, verifying insurance benefits, scheduling patients, verifying documentation, and providing exceptional service.

Responsibilities

Troubleshoot insurance obstacles that may prevent a patient from starting treatment.

Submit and follow up on prior authorization requests to insurance companies.

File appeals when an authorization is incorrectly denied.

Renew or resubmit authorizations for patients in continuous Spravato care.

Serve as the main point of contact for prospective patients and oversee administrative work needed to start treatment.

Maintain clear and well‑written documentation of all patient communications in the CRM.

Always maintain empathy and respect when communicating with patients.

Keep patient cases in the CRM up to date and ensure all required documentation is uploaded to the EHR.

Communicate clearly and consistently with Consult Coordinators regarding priorities and case status.

Scheduling

Assist with scheduling appointments for prospective and established patients.

Notify supervisor of any availability issues that may impact scheduling.

Audit Spravato charts as needed.

Maintain compliance with REMS, DEA, and Medication Log.

Make and receive calls to and from prospective or current patients.

Send and review financial plan quotes regarding treatment cost.

Maintain office organization and supplies inventory.

Fulfill and, if necessary, elevate medical record requests.

Manage and order Spravato inventory.

Ensure a clean, safe, and therapeutic environment for daily treatment sessions.

Preferred Experience & Qualifications

Bachelor’s degree or Medical Assistant certification/licensure.

Experience working in behavioral health.

Experience with EHR and CRM software.

Proficiency in Microsoft Office applications.

Customer service experience.
