Position Summary
The Mailroom Clerk supports the daily operations of the mailroom by ensuring the accurate and timely receipt, processing, and delivery of mail and packages across the campus community. This role provides excellent customer service to faculty, staff, and students while maintaining efficient mailroom operations and supporting departmental logistics.
Key Responsibilities
Responsibilities include, but are not limited to:
Greet faculty, staff, and students in a courteous and professional manner to create a welcoming environment
Receive, scan, and sort all incoming USPS and external carrier mail and packages
Deliver mail and packages to campus departments according to established routes and building assignments
Process and deliver student packages using package tracking software (WTS) and automated locker systems
Assign and manage student mailboxes, including:
Entering mailbox assignments for first-year and transfer students into the Admissions database
Removing mailbox assignments for departing students
Operate college vehicles to transport mail across campus and to local postal or carrier locations (e.g., post office, FedEx)
Support overall mailroom organization and workflow efficiency
Perform other duties as assigned to support the mission of the department
Qualifications
High school diploma or equivalent
Minimum of six (6) months of mailroom experience (college or university setting preferred)
Strong organizational and time management skills
Ability to work both independently and as part of a team
Working knowledge of USPS and third-party carrier procedures, including hazardous mail protocols
Proficiency with computers, including databases, spreadsheets, and email systems
Experience entering and maintaining data in electronic systems
Ability to use mobile devices and barcode scanning technology
Valid driver’s license
Physical Requirements
Ability to lift, carry, push, and move items up to 50 pounds
Ability to stand and walk for extended periods
Frequent bending, reaching, and handling of mail and packages
