Position Summary
The Operations Coordinator ensures Muslim Aid USA’s office environment operates smoothly, efficiently, and professionally. This part‑time role serves as the operational anchor of our headquarters, overseeing day‑to‑day office functions and creating an organized workspace that enables staff to focus fully on advancing the mission.
This position acts as the primary liaison between MAUSA and HAWA Center staff, manages office operations and storage oversight, and ensures facilities, supplies, and administrative systems are maintained with excellence and stewardship.
The ideal candidate is proactive, detail‑oriented, systems‑minded, and takes pride in building structure behind the scenes to support meaningful humanitarian impact.
Key Responsibilities
Office Operations Support
Support regular office operations to ensure a functional and productive workplace
Serve as the primary liaison between MAUSA and HAWA Center staff for building coordination, maintenance, and shared facility matters
Maintain office procedures related to facilities and administrative operations
Support leadership with office logistics and operational planning and execution
Facilities & Workplace Oversight
Coordinate maintenance requests, service vendors, and general facility upkeep
Ensure workspaces, conference rooms, and shared areas remain organized and professional
Support office access management and general workplace organization
Storage & Asset Management
Manage MAUSA’s storage facility, including organization and inventory tracking
Maintain records of office equipment, furniture, and materials
Coordinate movement of materials between office and storage as needed
Procurement & Supplies
Order and manage office supplies and operational materials
Monitor inventory levels and maintain budget‑conscious purchasing
Build and maintain vendor relationships
Maintain supporting documentation of vendor contracts, warranties, and service agreements
Administrative & Cross-Team Support
Assist with onboarding logistics for new staff (workspace setup, supplies, equipment coordination)
Support internal teams with operational needs as they arise
Provide periodic operational updates to leadership
Other duties as assigned
Required Qualifications
Education:
Associate’s degree in Business Administration, Operations, or a related field preferred; equivalent experience considered.
2–4 years of experience in office management, facilities coordination, or operations
Experience working with vendors and shared office facilities
Strong organizational and inventory management skills
Ability to work independently and manage multiple priorities
Must be authorized to work in the United States
Physical Demands
Possess the ability to lift up to 25‑30 pounds and perform physical, often repetitive tasks, related to storage and office setup.
