Job Summary
Assists the Budget and Operations Manager by overseeing the daily operation and management of the membership and sales area, payroll and student hiring functions. Maintains accounting functions to include deposits, reconciliations, initiating and tracking invoices and internal business forms, and preparing departmental tax and expense reports.
Primary Job Duties and Responsibilities
Hires, trains, evaluates, disciplines student employees for the Sales Office and Welcome Center operation. Must possess good customer service skills. Carries out supervisory responsibilities in a timely, fair and objective manner.
Makes daily deposits to include cash, check, credit card, and USM charge; maintains petty cash balances. Initiates invoices, tracks and collects accounts receivables.
Prepares, processes and routes employment forms for approximately 200 Campus Recreation part‑time employees. Ensures forms are completed correctly and that all information is accurate. Adheres to deadlines of Student Employment, Human Resources, and Financial Affairs and makes certain that the department is in adherence to all State, Federal and University policies and procedures.
Calculates and processes bi‑weekly payroll for approximately 200 part‑time employees on a biweekly basis, meeting deadlines set forth by Financial Affairs. Verifies enrollment and tax status of each part time employee. Verifies all hours worked each pay period to ensure no excessive time is submitted and/or there is no misuse of time clock. Works with area directors to verify this information.
Maintains appropriate student staff files with document verifications relative to orientations, trainings, disciplines and certifications required for specific positions, i.e. lifeguard, CPRO and First Aid.
Serves as the Membership specialist for Campus Recreation. This person actively goes out and markets the Payne Center’s programs, services, and facilities in an effort to obtain new members.
Supervises daily operation of main office, Sales Office and Welcome Center. Performs general office duties to include maintaining voice mail system. Attends and records agendas and minutes for departmental staff meetings, maintains office supplies for the main office, and assists with special events.
Performs other duties as assigned.
Minimum Qualifications
HighSchool Diploma/GED and two years related experience and ortraining. Must have a valid Driver’s License.
Knowledge, Skills, and Abilities (KSA)
Adept in Microsoft Office
Excellent written and oral communication skills and the ability to communicatewith a diverse group of individuals
Excellent organization and time management skills
Resourceful and determined to provide a positive experience for others.
Detail-oriented
Knowledge of Fusion software
Knowledge of accounting, budgetary, and management principles, practices, and procedures
Preferred Qualifications
Bachelor’sdegree from an accredited four‑year college or university
CPRO/First Aid certification
Experience in payroll processes
