Position Overview
Preston High School is seeking a highly organized, professional, and welcoming Front Desk Secretary to serve as the first point of contact for students, families, faculty, and visitors. This role is essential to the daily operations of the school, requiring strong communication skills, attention to detail, and the ability to manage multiple responsibilities in a fast-paced environment.
Key Responsibilities
Serve as the primary point of contact at the front desk, greeting visitors and answering incoming phone calls in a courteous and efficient manner
Manage daily student attendance, including recording absences, late arrivals, and early dismissals, and communicating with families as needed; process transcript requests for alumnae as requested and handle transfer records
Coordinate and assign daily class coverages for faculty in the event of absences
Process and distribute OMNY cards to eligible students
Create and maintain student identification cards
Process student working papers in accordance with New York State regulations
Perform general data entry and maintain accurate records across school systems
Monitor, track, and order office and school supplies as needed
Provide basic troubleshooting support for office operations, including equipment and logistical issues
Assist with general clerical duties and provide support to school administration as needed
Qualifications
High school diploma required; associate's or bachelor's degree preferred
Prior experience in a school or administrative office setting preferred
Strong organizational, multitasking, and problem-solving skills
Excellent interpersonal and communication skills
Proficiency in Microsoft Office, Google Suite, and general data management systems
Ability to maintain confidentiality and handle sensitive information with discretion
Bilingual: English/Spanish preferred

This position operates in a busy school office environment with frequent interaction with students, staff, and families. The ability to remain calm, professional, and solution-oriented is essential.
