
Executive Assistant to the CEO

Overview
The Executive Assistant to the CEO is a highly visible and trusted partner responsible for providing high-level administrative support to the Chief Executive Officer. This role requires exceptional organizational skills, discretion, and the ability to manage complex priorities in a fast-paced environment. The ideal candidate is proactive, detail-oriented, and comfortable interacting with executive leadership and external stakeholders.
Responsibilities
Serve as the primary point of contact between the CEO and internal/external stakeholders, including board members, clients, and senior leadership. Also aids the CFO and CPO.
Manage the CEO’s calendar, schedule meetings, coordinate logistics, and resolve scheduling conflicts with a focus on strategic priorities.
Serve as a liaison between the CEO, Executive Committee, and Board of Directors.
Prepare and edit correspondence, communications, presentations, and other documents on behalf of the CEO.
Coordinate domestic and international travel arrangements, including itineraries, accommodations, and expense reports.
Attend and support Executive Committee and Board Meetings; prepare agendas, assist with creating and distributing the board book, and follow up on action items as needed.
Exercise sound judgment and maintain a high level of confidentiality in all aspects of work.
Assist with special projects and initiatives that require cross-functional collaboration and follow through.
Anticipate the CEO’s needs and proactively provide support to maximize efficiency and effectiveness.
Manage information flow in a timely and accurate manner.
Maintain the confidentiality of all activity, including the verbal and written communication, of any interdepartmental matters
Must conduct self in an ethical, legal and responsible manner at all times
Attends all mandatory meetings, trainings, and assignments as delegated.
Perform other duties and responsibilities as assigned
Must adhere to the polices, principles, and guidance within the Employee Handbook and Code of Business Conduct.
Qualifications
Certified Administrative Professional (CAP) or relevant professional experience
Minimum 7-10 years of experience supporting C-suite executives, preferably in a fast-paced or high-growth environment
Exceptional organizational and time-management skills with the ability to prioritize and multitask effectively
Strong written and verbal communication skills
High level of integrity, professionalism, and discretion in handling confidential information
Adaptable, resourceful, and able to work independently with minimal supervision.
Calm under pressure with a proactive problem-solving mindset
Strong business acumen and an understanding of executive-level decision making
Positive attitude and team-oriented approach
Computer Skills
Proficient knowledge of Microsoft Office (Outlook, Word, Excel, PowerPoint, etc) and collaboration tools (ie, Zoom, Teams, etc.)
Basic Internet navigation skills
Work Environment
This job operates in a professional office environment with the standard level of noise. This role routinely uses standard office equipment. At times, there may be high stress based on workload and business needs. The position’s office is the Corporate Office in Plano, TX.
