Position Summary
We have an exciting opportunity to join our team as a Temp Secretary II. In this role, the successful candidate will be responsible for providing basic front‑desk support for clinical intake operations and may assist less senior staff with completing intake related duties.

Job Responsibilities

Maintain and receive files for the area, keeping them organized and up‑to‑date for easy retrieval.

Complete filing in accordance with departmental procedures, sorting and distributing documents and forms.

Distribute materials according to content of communications and procedures.

Log materials with respect to time and data when applicable; process incoming and outgoing documents.

Complete forms neatly, secure appropriate signatures, and forward documents to the correct destination based on procedures.

Maintain file copies and fax documents in accordance with procedures.

Maintain supplies and cleanliness of the space, restock supplies as needed, and notify the supervisor of shortages.

Assist, provide guidance, and/or train less senior staff on completing intake related duties.

Prepare simple, routine memorandum letters, labels, manuscripts, correspondence, etc.; review work for accuracy and completeness.

Maintain workload statistics and departmental data, recording statistics in the intervals designated by the supervisor.

Assist with special projects, reports, and activities, ensuring requested information is accurate and complete; bring questions to the supervisor’s attention and submit neat and well‑written data.

Schedule routine appointments and follow‑ups for visits and procedures that do not require pre‑authorization; prepare the daily schedule; refer inquiries regarding pre‑authorizations to the Medical Secretary.

Provide reception assistance: greet patients, answer calls, direct requests to the appropriate individual, screen callers pleasantly, take messages, or direct callers.

Be responsible for patient check‑in and check‑out: gather demographic data, obtain insurance information, verify eligibility electronically, guide patients to use Patient Secure, and ensure proper signature of HIPAA, MSPQ, ABN, and other documents.

Scan all necessary documents into the intake system.

Monitor the intake work queue for timely completion.

Refer patients with insurance coverage questions or financial counseling needs to the Business Office Associate, based on established criteria.

Maintain cooperative and professional relationships with physicians, nurses, and clinical staff.

Type routine material such as forms, letters, envelopes accurately and cleanly.

Answer patient questions to ensure understanding and satisfaction; refer to senior staff when necessary and maintain confidentiality.

Perform other related duties as needed by providers and supervisors.

Minimum Qualifications

High School diploma.

Three years of relevant medical clerical experience.

Knowledge of medical terminology.

Background in computer literacy preferred.

Light, accurate keyboarding skills required.

Excellent organizational, interpersonal, and communication skills required.

Preferred Qualifications
Knowledge of computer‑based scheduling and appointment programs. Excellent telephone skills. Prior physician practice experience.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $33.46 - $33.46 Hourly. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentives, differential pay, or other forms of compensation or benefits.
