Position Summary
In this role, the successful candidate is responsible for providing basic front‑desk support for clinical intake operations.
Job Responsibilities
Performs related duties as needed by providers and supervisors.
Types routine material such as forms and letters, envelopes, etc., neatly and accurately according to instructions; writes materials clearly and legibly.
Answers patient questions to ensure understanding and satisfaction, or refers them to more senior staff; maintains confidentiality on privileged matters.
Maintains and receives files for the area; organizes and updates files to facilitate retrieval; completes filing in accordance with departmental procedures; sorts, distributes, logs, and processes documents; secures signatures; forwards documents to correct destinations; maintains copies; faxes documents as required.
Maintains supplies and cleanliness of the space; restocks supplies as needed; notifies supervisor of shortages.
Schedules routine appointments and follow‑ups for visits and procedures that do not require pre‑authorization; prepares the daily schedule; refers inquiries regarding pre‑authorizations or certifications to the Medical Secretary.
Conducts patient check‑in and check‑out; gathers all patient demographic data and materials; obtains insurance information and verifies eligibility electronically; takes photographs and prompts use of Patient Secure; verifies demographic info on subsequent visits and updates as necessary; collects signatures on HIPAA, MSPQ, ABN, etc.; follows up with patients or representatives to gather missing data and references more senior staff if needed.
Scans all necessary documents (insurance cards, lab requisitions, etc.) into the intake system.
Monitors the intake work queue to ensure timely completion.
Refers patients who have questions about insurance coverage or need financial counseling, based on established criteria, to the Business Office Associate.
Maintains professional relationships with physicians, nurses, office and clinical staff.
Provides reception assistance, such as greeting patients, answering calls, and directing requests to the appropriate individual or area; screens callers in a friendly and professional manner; takes messages or directs callers.
Minimum Qualifications
High School Diploma. Excellent organizational, interpersonal, verbal and written communication skills; strong customer service orientation. Basic knowledge of word processing, spreadsheet, database and Internet applications. Light, accurate keyboarding skills. Ability to complete multiple tasks efficiently and thrive in a team work environment.
Preferred Qualifications
Intermediate knowledge of computer‑based scheduling and appointment programs.
Qualified candidates must be able to effectively communicate with all levels of the organization.

Salary Information
NYU Langone Health provides a salary range of $48,308.00 – $48,308.00 annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses or other compensation.
