Qualifications

High School diploma, at a minimum. Some college preferred.

Minimum of two (2) years of successful secretarial experience preferred.

Possesses excellent clerical, computer and communication skills.

Possesses effective interpersonal skills and realizes the importance of maintaining positive public relations with students, parents and staff.

Works cooperatively with others. Exhibits a pleasant, positive attitude and caring demeanor.

Shows willingness to learn new skills.

Demonstrates confidentiality in handling sensitive student and family information and ability to keep accurate records.

Shows a willingness to ask questions when necessary.

Demonstrates initiative and excellent work habits (attendance, punctuality, responsibility).

Additions to the above qualifications as the Board of Education deems appropriate.

Ability to collect and interpret data sets for district data collection assignments.

Reporting To
High School Principal

Primary Functions
Maintains the daily flow of activities in the High School Counseling Resource Center. Pupil Accountant for high school; responsible for coordinating student data related to count days.

Performance Responsibilities

Help maintain a culture of caring, follow/support the Full Value Agreement, and provide a safe, learning environment.

Answers the CRC telephone and provides assistance at the CRC front counter.

Welcomes students, parents and general public in a pleasing and courteous manner and provides assistance as needed.

Utilizes good communication skills with parents, staff and students as necessary.

Provides secretarial assistance for CRC counselors.

As Pupil Accountant: Responsible for all pupil accounting related to students including preparation and submission of the reports needed to satisfy the state reporting requirements.

Maintains the student information system (PowerSchool), including recording student and contact information, data changes, etc.

Maintains student cumulative files (CA-60’s) and processes their receipt and distribution.

Processes all requirements involved for students withdrawing from school.

Updates Char-Em ISD and special education department on new or unenrolled special education students.

Maintains CA-60’s and updates transcripts for Alternative Education students.

Assists with Career Tech student form collection and processing, sends and receives grades.

Assists with Civil Rights Data Collection on a bi-yearly basis.

Submits Section 25e reports for new students between count periods.

Generates and maintains various reports including students records and transcripts. Updates transcripts as needed throughout the year.

Inputs transcript information for new students into the district’s student information system, and enters test scores.

Maintains Parchment account records for electronic submission of transcripts to colleges and universities.

Processes all education and graduation verifications.

Assists with the preparation and planning of AP testing. Collects payment for PSAT and AP testing.

Assists with course creation and management in the student information system.

Determines academic honor recipients, orders medals and letters.

Assists with NCMC dual enrollment forms and textbook fees.

Posts scholarships to the high school scholarship link, and coordinates with organizations that offer scholarships. Organizes the annual Scholarship Awards Assembly.

Orders diplomas and prepares the graduation program for printing.

Helps cover the front office during secretary absences.

Maintains supplies and office machinery for the CRC.

Receives, sorts and disperses ISD mail (incoming and outgoing).

Performs other related duties that may be assigned by the building principal.

Informs the principal of any problems that may arise concerning the responsibilities of the CRC.

Other Information
Candidate must pass all required state and federal criminal record background checks.

Terms of Employment
200 Work Days, and per the PESPA Master Agreement

Probationary Period
45 Working Days

Evaluation
Performance will be evaluated during the probationary period and annually in accordance with the policy of the board of education regarding support (non-certified) staff personnel.
