We are looking for a

Psychometrics Coordinator

who understands the weight of that responsibility and can bring structure, precision, and empathy to every step of the patient journey.

This role sits at the center of our

Psychometrics Department , supporting both patients and clinicians while ensuring that testing services are delivered efficiently, accurately, and with care.

The Role
The Psychometrics Coordinator is responsible for managing the full lifecycle of patient referrals for psychological and neuropsychological testing.

Reporting directly to the Clinical Operations Manager, you will work closely with the PsyD and clinical team to ensure:

Seamless referral intake

Accurate scheduling and coordination

Timely authorizations and documentation

A high-quality patient experience from start to finish

Key Responsibilities
Referral Intake & Coordination

Manage internal and external referrals for psychometric services

Coordinate with psychiatrists, PMHNPs, therapists, and referral partners

Ensure all required documentation is complete prior to scheduling

Scheduling & Workflow Management

Schedule psychological and neuropsychological testing appointments

Optimize provider schedules to support access and throughput

Coordinate multi-step testing processes (intake → testing → follow-up)

Prior Authorizations & Insurance Support

Verify insurance benefits and obtain prior authorizations for testing services

Communicate coverage details clearly to patients

Track authorization status to prevent delays in care

Patient Experience

Serve as a key point of contact for patients throughout the testing process

Provide clear guidance on what to expect before, during, and after testing

Deliver a professional, empathetic, and organized experience at every interaction

Clinical & Administrative Support

Support the PsyD and psychometrics team with daily operations

Prepare patient charts and ensure all required documentation is complete

Track testing progress and report turnaround timelines

Systems & Compliance

Document all interactions in EHR systems (e.g., Tebra)

Maintain accurate records across scheduling, referrals, and authorizations

Ensure strict adherence to HIPAA and confidentiality standards

What Success Looks Like

Referrals are processed quickly and accurately

Patients experience a clear, organized testing journey

Authorizations are completed without delays

Schedules are optimized and providers are fully supported

Testing workflows run smoothly from intake to final report

What We’re Looking For

2+ years of experience in healthcare coordination, patient access, or scheduling

Experience with prior authorizations and insurance verification

Strong organizational and time management skills

Excellent communication and customer service abilities

Experience with EHR systems and documentation workflows

High attention to detail and accountability

Preferred:

Experience in behavioral health or psychological testing environments

Familiarity with multi-step clinical workflows

Ability to work cross-functionally with clinical and operations teams
