POSITION SCOPE
The Contract Administrative Support role plays a vital role in supporting the contract management team by executing and tracking routine contract and subcontract documentation. This is an entry-level administrative position focused on processing, distributing, and maintaining contract documents, working in support of the Contract Manager who oversees contract development and execution.
PRIMARY DUTIES
Prepare and send subcontracts and related documents via DocuSign or similar platforms based on provided information
Track contract and subcontract status to ensure timely execution and follow up as needed
Maintain organized digital filing systems for contracts and supporting documentation
Complete standard, routine industry forms with accuracy
Distribute executed documents to internal teams and external partners
Ensure all contracts are properly signed, saved, and routed to appropriate parties
Assist with processing subcontractor pay applications, including tracking submissions and supporting documentation
Assist with basic reporting and data entry in systems such as B2G, ADOT DOORS, or similar agency platforms
Support subcontractor labor compliance efforts, including collecting and tracking certified payroll documentation
Support established workflows and procedures to ensure consistency and accuracy
Coordinate with internal teams to confirm documentation is complete and up to date
Handle sensitive information in a confidential manner
Perform other duties as assigned
REQUIREMENTS
High school diploma or GED; 1-3 years of administrative or office support experience preferred
Strong attention to detail and organizational skills
Ability to follow defined processes and complete tasks from start to finish
Experience with Microsoft Office Suite (Word, Excel, Outlook) and DocuSign or similar document management systems preferred
Familiarity with B2G/ADOT DOORS, or similar reporting systems is a plus
Exposure to subcontractor labor compliance, certified payroll, or wage determinations is a plus
DOT (Department of Transportation) agency experience is a plus
Strong communication skills and ability to coordinate across teams
Ability to manage multiple tasks in a fast-paced environment
Maintaining confidentiality and handling sensitive information with discretion is often required
