Position Summary
The term Graduate Assistant is the umbrella term that encompasses all types of GA appointments. Graduate Assistants are employed by the University to teach, conduct research, or assist with administrative duties in departments and non-academic units. Every attempt is made to assign Graduate Assistants to positions that are directly related to the student’s field of study or that provide the opportunity to develop transferable, professional skills. Graduate Assistantships are assigned in the department or unit and confirmed by the Graduate School.
Responsibilities
Under the direction of the Assistant Director, manage the Enrolled Student Services email account and communicate with Faculty, Staff, and Students via email.
Scan and file all doctoral paperwork after it has been processed; email students and committee chairs regarding approved items.
Upload daily departmental paperwork to the Banner Document Management system.
Manage address and name changes for graduating students each semester.
Contribute to the Commencement Ceremony by aiding with master's check‑in and line‑up.
Assist with compiling information for the Doctoral Hooding Ceremony program.
Aid with check‑in, line‑up, and preparation for the Doctoral Hooding Ceremony event as needed.
Prepare and manage the Degree Audit distribution and return.
Assist in managing plans of study for graduating students.
Identify diplomas that cannot be released directly to students and notify students.
Manage the file purge project.
File, copy, scan, and pull student folders as needed.
Perform special projects as required.
Maintain daily check‑ins with supervisor and clarify any questions that arise during the workday.
Work independently with attention to data and privacy measures after proper training from supervisor.
Maintain and update the Procedures Manual for the GA position.
Responsible for contacting faculty, departmental staff, and students when Doctoral plans of study and advisory committees are approved or revised.
Work Hours, Stipend, and Tuition Support
Work 10 or 20 hours per week for the Graduate School, with a workspace within the office.
Receive a stipend of $10,000 (10 hours/week) or $20,000 (20 hours/week) for the period August 1 – April 30, with the opportunity to work during summer for additional stipend.
Tuition support is provided as part of the assistantship.
Minimum Qualifications
Maintain academic good standing at all times (minimum GPA 3.0).
Be enrolled full‑time, generally at least 9 credits.
Make satisfactory progress toward your degree as defined by your academic program and the Graduate School.
Meet the requirements to be eligible for employment in the U.S.
Additional Minimum Qualifications
Attention to detail and deadlines.
Effective time‑management and multi‑tasking.
Independent decision‑making and ability to work with minimal supervision.
Strong organizational skills and professionalism, accuracy, and confidentiality.
Knowledge of Microsoft Word, Access, Excel, and ability to learn new computer programs as needed.
