Payroll Specialist

The Payroll Specialist will manage the firm’s payroll processing, and related accounting functions. This position requires a capable problem solver, able to collaborate effortlessly, possess a strong accounting background, demonstrate leadership skills, and have a proactive approach to process improvement and compliance.

Duties and Responsibilities

Oversee weekly production of labor data, for multiple states, including but not limited to ensuring input of all timesheets, review for accuracy, and resolution of errors

Bi-weekly loading of labor hour data for hourly and salaried employees, to the ADP System for payroll processing

Verify / audit entries to payroll for accuracy, including new hires, terminations, leaves of absence, rate changes, etc. Input standard hours, tax, direct deposit, insurance eligibility, accrual coding, etc. and submit payroll information to ADP System

Reconcile the bi-weekly ADP payroll register to labor costs to ensure accuracy and completeness

Maintain communication with all departments to ensure accurate payroll information is received on time

Review and process Payroll Change Forms and reconcile changes in the accounting system and ADP

Accurately process and document various non-timesheet components of payroll such as bonuses, and deferred compensation in ADP

Advise managers and supervisors on payroll policy changes and coach new hires on procedures pertaining to payroll

Ensure employee tax forms are completed, and direct deposit information provided in the ADP employee profile is supported

Validate and process Garnishment notices and other non-benefit deductions

Manage payroll tax filings, W-2s, and year-end reporting, collaborating with tax agencies as needed

Manage the administration of employee leave hours (vacation, sick, bereavement, etc.) per company policies

Maintain bi-weekly updates of employee 401k data on the Plan Provider’s portal

Send collection letters to employees when reimbursements are owed to the company

Generate labor data and ADP reports as needed

Perform various accounting functions as required by the role

Ensure compliance with all government payroll regulations, as well as established company payroll policies and procedures

Serve as the primary point of contact for payroll-related inquiries, both internal and external, resolving discrepancies and issues promptly

Maintain up-to-date knowledge of U.S. wage and compensation policies, best practices, and legal standards

Travel from time- to-time, but not on a monthly basis. Travel may be for training, conferences, meetings, or other work-related duties

Other projects and responsibilities may be added at the company’s discretion.

Special Knowledge, skills and abilities

Strong understanding of payroll regulations, tax compliance, and employment laws across various states

Proficiency in payroll software and Microsoft Excel

Excellent analytical skills, attention to detail, and ability to troubleshoot payroll discrepancies

Demonstrate strong organization, planning and prioritizing abilities

Work independently as well as in a team environment

Learn and perform multiple tasks in a fast-paced environment

Comfortable interacting collaboratively with internal and external clients.

Positive attitude, self-motivated, with attention to detail

High degree of professionalism with demonstrated ability to handle sensitive information and maintain strict confidentiality

Education and Experience

Bachelor’s degree in accounting or equivalent degree required

Minimum five (5) years’ payroll management experience in a multi-state, multi-company environment

Experience in the engineering industry preferred

Familiarity and experience with ADP and Deltek Vantage Point preferred

License and Certification

Certified Payroll Professional (CPP) designation or equivalent is required at the time of hire or must be obtained within two (2) years of hire.

Candidates without the certification at hire must demonstrate the ability and intent to actively work toward certification during employment.

Manual dexterity and coordination are required over 50% of the work period while operating equipment such as computer keyboard, mouse, calculator and similar machines. At times, bending, reaching, standing, and walking may be required.
