Administrative Coordinator – Administrative Associate 3, located at 590 Escondido Mall (Hybrid arrangement: 3 days on site). Job code: 4098. Grade: F.
Responsibilities
Hire over 100 student employees annually and guide them on employment policies and procedures.
Support the IntroSems curricular approval process for more than 200 courses, coordinating with colleagues across all seven schools.
Use Microsoft Office, Google Drive, and specialized systems such as Airtable to track information from many partners.
Anticipate and track tasks and deadlines, communicating updates with various stakeholders.
Provide financial support for SIS programs, processing a variety of financial transactions and upholding relevant policies.
Organize events for the IntroSems program for faculty, staff, and students, including scheduling space, vendor arrangements, and compliance with university and SIS policies.
Offer general administrative support for the unit, attending SIS meetings, events, and handling day‑to‑day office operations.
Perform desk‑based computer tasks, with occasional standing, walking, reaching, light and fine manipulation, and lifting or carrying objects up to 10 pounds.
Qualifications
High school diploma and four years of administrative experience or equivalent combination of education and experience.
Excellent organizational skills and attention to detail.
Strong verbal and written communication skills.
Comfortability with learning and adapting to change.
Proactive problem‑solving and project‑management approach.
Initiative and ownership of tasks.
Professionalism, flexibility, discretion, judgment, diplomacy, and tact.
Preferred Requirements
Associate or Bachelor’s degree.
Experience in an academic environment.
Advanced knowledge of office software and email applications, including PeopleSoft, Oracle Financials, Airtable, Microsoft Office Suite, and Google Suite.
Pay Range
$39.20 to $45.56 per hour.
