Job Description
We’re currently searching for an Office Coordinator to perform a wide variety of administrative activities to assist the Office of the Vice President of Student Affairs (VPSA), reporting directly to the Chief of Staff. In Virginia Tech’s Division of Student Affairs, we guide, nurture, and support students as they learn and grow into the leaders of today and tomorrow.

Responsibilities

Report directly to the Chief of Staff and work in the Office of the Vice President for Student Affairs.

Provide high-level administrative support to the Office of the Vice President for Student Affairs, including support to two VPSA Council members and the Vice President as needed.

Practice excellent customer service, ensuring the office environment is welcoming and inclusive, and handle confidential matters with discretion and tact.

Serve as backup to the VPSA’s Executive Assistant as needed.

Manage office communications, including emergency and maintenance matters and office functions and gatherings.

Collaborate with a small team of undergraduate student fellows, interns, and employees in reception and administrative support roles.

Interact extensively with senior divisional leadership, university administration, donors, students, and families, exercising independent judgment and representing the office and division professionally.

Receive a base compensation package between $45,000 and $50,000 and a comprehensive benefits package that includes health insurance, paid leave, retirement, tuition assistance, and VT discounts.

Required Qualifications

Prior professional administrative experience, including facilitating meetings and events, managing multiple electronic calendars, drafting written correspondence, and managing projects.

Experience with accounting processes, including processing invoices, preparing travel vouchers, spreadsheets, and reimbursements.

Proficiency in Windows and Microsoft Office 365 Suite, with strong skills in word processing and spreadsheets.

Ability to work independently with little supervision and within a team-based environment.

Strong organizational skills, prioritizing tasks, managing time effectively, and handling multiple functions simultaneously.

Excellent communication and interpersonal skills.

Experience interacting with a wide variety of stakeholders and establishing successful relationships.

High degree of accuracy and attention to detail.

Preferred Qualifications

Previous experience as an administrative or executive assistant.

Familiarity with university systems such as Banner, Emburse, Maxient, and/or HokieMart.

Experience in higher education, nonprofit/philanthropic, or customer service settings.

Compensation

Salary: $45,000–$50,000 per year.
