Events & Camps Manager
Recreation Events & Camps Manager is responsible for planning, developing, coordinating, and evaluating a comprehensive portfolio of community-focused recreation programs including seasonal camps, instructional clinics, and special events that enhance quality of life and community engagement for residents of all ages. Works collaboratively within the Recreation Division to deliver innovative, inclusive, and mission-driven programming aligned with department goals, community needs, and national parks and recreation best practices.
Essential Duties and Responsibilities
Plan, organize, schedule, implement, and evaluate seasonal camps, enrichment programs, instructional clinics, and community-wide special events.
Establish program schedules, timelines, logistics plans, and operational procedures.
Coordinate registration setup and program configuration within recreation management software systems.
Ensure programs comply with department policies, risk management procedures, and safety standards.
Lead planning and execution of community events such as festivals, holiday events, outdoor activities, tournaments, and family engagement initiatives; coordinate site layouts, permits, equipment needs, vendor participation, and event logistics.
Collaborate with internal divisions including parks maintenance, aquatics, athletics, and facility operations; serve as on-site event supervisor to ensure safe, efficient, and successful operations.
Conduct community needs assessments and evaluate participation trends to develop responsive programming that supports departmental goals.
Recruit and develop relationships with contractors, volunteers, and organizations capable of providing safe, fun, and relevant experiences; develop partnerships with schools, civic groups, nonprofits, and local organizations to expand program offerings.
Ensure compliance with department safety policies and applicable local, state, and federal regulations, including child safety guidelines and departmental supervision standards.
Maintain program documentation including incident reports, emergency procedures, and required certifications (CPR/AED/First Aid).
Assist with development of staff training materials, operational procedures, and program budgets.
Track revenues, expenditures, and participation metrics; order program supplies, equipment, and contracted services in accordance with the City’s purchasing procedures; maintain accurate records, reports, and program evaluations.
Lead the Department’s Tournament Board, approving and coordinating facility usage for outside entities on City property.
Communicate with external organizers to ensure outside events comply with City policy for space usage and closures.
Coordinate with supervisor and maintenance team for scheduling of staff for set-ups, tear-downs, and event oversight.
Assist development of promotional materials, including seasonal program guides, digital content, and event marketing campaigns.
Coordinate communication with participants, instructors, and families; support social media and community outreach initiatives.
Fiscal Responsibilities
Annual budget total value: 2500. Funds, facilities & equipment total value: 2500.
Supervisory Responsibilities
Supervises a small group (1‑3) of employees within the same or lower classification; assigns, checks work, and provides instruction as required.
Regularly responsible for property where careful use is required to prevent loss.
Education And Experience
Education: Four‑year college degree, or equivalent experience resulting in broad knowledge of a field related to the job.
Experience: 5 years related experience and/or training.
Management experience: 19–23 months related management experience.
