Role Summary:
The
Tenant Coordinator
will be responsible for assisting the property managers across a portfolio of properties and working with the accounting department to ensure all financial obligations are met for clients.
Key Responsibilities
Accounting and Financial
Assist in financial oversight of the properties including preparation of annual budgets, monthly and quarterly reporting, annual operating expense and real estate tax reconciliations.
Assist in property administration with specific attention to accounts receivable and approval of accounts payable on a consistent basis.
Assist with A/R duties where needed by following the Seyon Management policies for contacting tenants, following up for payment and sending default letters by the dates outlined in the policies. Work with accounting to make all AR adjustments, ensure tenant electric, and billables are posted properly and by the deadline set in the policies.
Assist with A/P duties from the property management side, pushing or approving invoices in the financial software platform, updating vendors on payment status, meeting all deadlines for pushing invoices to accounting.
Assist in the Commercial Billing monthly review, as needed.
Tenant Relations
Assist with all tenant relations and communication displaying a positive and prompt response to all requests from tenants. Conduct regular follow-ups to assure a consistent approach to the tenants needs.
Assist the Property Manager in responding to tenant work orders, run reports to ensure work orders are being closed out in a timely manner. Discuss open work orders with facilities staff and vendors to ensure all are being responded to.
Send all tenant broadcasts to ensure the lines of communication between management and tenants are open and favorable.
Assist with tenant events, coordinating events based on the schedule the manager set in the budget, where applicable (i.e. monthly/quarterly events).
Lease administration as it pertains to abstracting leases and general knowledge of tenant leases as they pertain to responding to issues, billing, operating expenses and tenant usage rights to assist the manager in resolving any issues.
Onboarding of new assets, and tenant move in/outs assisting managers tasks assigned. Assist with tenant move in and move outs, following the outlined process to ensure a smooth transition for both parties.
Operations
Assist in contract service administration. Assist in the day-to-day monitoring of vendor performance to ensure full compliance with Seyon’s specifications and standards.
Track vendor service contracts to ensure all are up to date, and if renewal or bidding a service is needed inform the Manager.
Assist with the tracking of COIs for vendors and tenants through property management software, working with the financial operations team, as needed.
Assist in any coordination tasks needed from the construction management or property management team for tenant improvements and capital projects work.
Assist Construction Management team with tenant communication and coordination for all capital projects as it relates to impact to building operations.
Qualifications
1‑3 years’ experience in commercial property management.
Undergraduate college degree required.
Working knowledge of the operational, administrative and financial aspects of real estate management.
Familiarity with Microsoft Office, Word, Excel and Yardi or comparable accounting applications.
Ability to effectively communicate with clients, managers, engineers, vendors and tenants in a professional manner.
Candidate must exhibit a high degree of professionalism, excellent written and verbal communication skills and a track record of consistent professional achievement and career growth.
