Administrative Assistant

The Administrative Assistant provides essential administrative and clerical support to the dean, chair, faculty, staff, student workers, and guests of the School of Communication & the Arts. This role requires the ability to work independently with good judgment and discretion while contributing to a collaborative and welcoming office environment.
Essential Functions and Responsibilities
Administrative Assistant II serves the Department of Strategic & Personal Communication.
Maintains Department Chair's schedule and coordinate appointments.
Greets visitors and provides professional, courteous assistance.
Performs clerical duties including filing, typing, answering phones, and managing email correspondence.
Schedules and coordinates events such as CFAW, Experience LU, graduation, and other departmental functions.
Schedules, records, compiles, transcribes, and distributes minutes of meetings.
Submits and tracks all facilities work orders, print shop orders, and IT Service Tickets.
Reserves rooms using 25Live.
Maintains a clean and organized academic office environment.
Trains and becomes proficient in Liberty University systems and software.
Supports and supervises HR hiring procedures.
Performs other duties as assigned.
Collaborates effectively as a team member, embracing and fostering LU's Christian model and Mission Training Champions for Christ.
Education and Experience

3-5 years administrative experience with finance/business and personnel management and bachelor's degree required; OR 5-10 years office/administrative experience with finance/business and personnel management.
Some college attendance or professional work experience in a higher educational setting required. Prior experience with Liberty University systems is helpful.
Proficient in Microsoft Suite (Word, Excel, PowerPoint, Teams, Outlook).
Excellent organizational and problem-solving skills and previous event planning experience required.
Abilities and Competencies Essential to the Function of the Job

Communication and Comprehension

Ability to effectively communicate in English both verbally and in writing to convey clear, well-articulated information in a professional manner on e-mail and MSTeams.
Possess public communication skills that allow professional representation of Liberty University. Able to be a team player but exercise initiative and good judgment.
Able to set priorities and manage multiple tasks with efficiency and good organizational skill.
Computer skills, Microsoft Office, and Outlook 365/calendar proficiency required. Must have a working knowledge of Excel and become proficient at new systems.
Problem Solving

Intuitively able to reason, analyze information and events, and apply judgment to solve problems of both a routine and complex nature.
Physical and Sensory Abilities

May be required to travel.
May be required to sit to perform deskwork or type on a keyboard.
Regularly required to hear and speak to effectively communicate orally.
Regularly required to stand, walk, and climb stairs to move about the campus.
Handle materials, reach overhead, kneel or stoop to conduct business.
Regularly lift ten or fewer pounds.
Work Environment

The working environment in which one will typically perform the essential functions of this position is a climate-controlled setting. It is well lit, and the noise level is moderate. Working environment may include facilitation of events outdoors occasionally.
Driving Requirements

If the employee is required to travel in performing the duties and responsibilities of the position, the use of one's personal vehicle (or LU vehicles) may be required for travel. Proof of a valid driver's license, an acceptable DMV record, LU Driving Approval, and liability insurance is required when driving in the performance of the employee's position.
