The Executive Assistant at Care Lumen is a trusted partner to the full C-suite a role that requires equal parts operational excellence, sound judgment, and discretion. Reporting to the Senior Director of Business Operations and supporting the C-suite, you will provide administrative and strategic support, serving as the connective tissue between executives, internal teams, board members, investors, customers, and external partners. This is not a traditional administrative role. Key Responsibilities
Manage complex calendars for the CEO and C-suite coordinating across time zones, priorities, and stakeholders with precision and proactive judgment about how executive time is best used
Own end-to-end travel logistics for executives, including domestic and international itineraries, ground transportation, accommodations, and contingency planning when things change
Serve as the primary point of contact for internal and external parties seeking time with or information from the executive team triaging, prioritizing, and responding on behalf of leaders as appropriate
Coordinate and support board meetings, investor updates, all-hands sessions, and executive offsites managing logistics, materials, and follow-through from start to finish
Track and manage executive action items, follow-ups, and commitments, ensuring nothing falls through the cracks in a high-velocity environment
Process expense reports on behalf of executives, maintaining accurate records and ensuring timely approvals
Support special projects and strategic initiatives as directed by the Senior Director of Business Operations, stepping in wherever organizational capacity is needed
Handle highly confidential information personnel matters, board communications, investor materials, financial data with complete discretion at all times
Help shape and maintain a professional, high-functioning executive office environment that reflects Care Lumen's culture and values
Skills, Knowledge & Expertise
5+ years of executive assistant or senior administrative experience, with at least 2 years supporting a C-suite leader or equivalent in a fast-paced, high-growth, or technology company
Proven ability to manage complex, multi-executive calendars and competing priorities across time zones without dropping the ball
Exceptional organizational skills and meticulous attention to detail you catch what others miss and build systems that keep things running smoothly
Strong written and verbal communication skills able to draft professional correspondence, summarize complex information, and communicate on behalf of executives with confidence and accuracy
High emotional intelligence and interpersonal polish able to build relationships across all levels of an organization and represent leadership with professionalism in every interaction
Sound judgment and the confidence to make decisions independently in ambiguous or time-sensitive situations, and to know when to escalate
Absolute discretion and trustworthiness in handling confidential or sensitive information
Proficiency with modern productivity and collaboration tools: Microsoft 365, Notion, Slack, and expense management platforms
Ability to work in a hybrid environment and be present in the Boston area as needed for leadership meetings, events, and company touchpoints
The expected total cash compensation for this role is market-driven, with an expected starting salary of $85,000 - $110,000 with up to a 5% bonus. Salary is ultimately determined based on a candidate's skills, expertise, and experience.
