This position will be located in Washington DC, and open to applicants who have suitable working rights in the USA.
Purpose
Provide administrative management for the ABC News Washington bureau across a broad spectrum of financial, HR and editorial support tasks.
Key Accountabilities
Editorial Support:
• Under limited direction, assist the producers with planning and executing news coverage of breaking news and assignments.
• Provide logistical support in liaison with Editor and Supervising Producer on assignments, including travel, visas, hotels, carnets, accreditations, communications etc.
• Assist producers with the forward planning and collation of news diaries and events, where required.
• Participate in and oversee the preparation of Risk Assessments before out-of-town assignments.
Administrative and Financial Functions:
• Manage all general office administration, including reconciling all bank accounts and credit cards.
• Timely raising of payment requests for all bureau suppliers.
• On occasion, be available out of normal working hours for emergency bureau office and assignment issues.
• Provide support to the ABC International Business Lead regarding management of contracts, leases and projects. Assist with local tax and WHS compliance as required.
• Manage bureau assets by keeping records up to date, undertaking periodic checks and reporting any missing or damaged assets to Sydney.
Employee & OH&S Support:
• In collaboration with the Editor, manage rostering and employment matters for locally engaged staff in the Washington bureau.
• Take a leading role in managing the transition of correspondents both relocating to the USA and repatriating from the USA.
• Lead and oversee effective management of Work Health and Safety risks for the Washington bureau.
• Liaise directly with building management including security protocols, fire drills and visitor access.
• Actively promote the ABC values and apply all relevant workplace policies and guidelines.
• Cooperate with any reasonable instruction, procedure or policy relating to safety and take reasonable care for your own safety and that of other people who may be affected by your conduct while at work. Additional WHS responsibilities apply to Managers and Supervisors, Team Directors, and other Officers.
Key Capabilities/Qualifications/Experience
1. Relevant tertiary qualifications or demonstrated equivalent skills, knowledge and experience.
2. Demonstrated office administration and organisational skills, with an aptitude for accuracy and attention to detail in a deadline driven environment.
3. Experience within a news media environment is desirable.
4. Well-developed planning, time management and prioritisation skills.
5. Willingness to take prompt action and demonstrate a proactive approach, performing tasks with enthusiasm and focus.
6. General understanding of broadcasting equipment, IT equipment and software, with proficiency in the use of Microsoft Office software particularly Teams, Excel and Outlook.
7. General knowledge of accounts payable, payroll and tax / social security in the USA.
8. Ability to coordinate with external tax agents and government bodies as required.
9. Ability to work well as part of a team and establish effective working relationships with colleagues.
10. Advanced communication skills, with the ability to work effectively with remote staff in Sydney and other bureaus.
